Overview

POSITION TYPE TERM (Nov 2025 – Mar 2028), FULL-TIME

Responsibilities

The TAC Administrative Assistant performs a wide range of administrative responsibilities to ensure the effective and efficient functioning of the College's Technology Access Center for Aerospace and Manufacturing (TACAM). The incumbent will coordinate operational/business processes, facilities and equipment, and provide ongoing administrative support to the TAC team. The duties will include financial administration, assistance with the development of annual estimates and budget forecasts, variance analysis, monitoring cash flow reports; preparing human resource-related documentation; assisting with the managing the TAC research space and resources; providing IT liaison supports; event administration as required (seminars, visits, TAC Board meetings, etc.); and ensuring good customer service. Confidentiality and decorum are required in all aspects of this role. The incumbent will manage client-related contract documents and internal project documents (including agreements, costings, project plans, training content, reports, etc.); support the development of Tri-Council reports and other funding-related reporting; and support TAC managers in hosting meetings, industry and government consultations, and managing related documentation.

Required qualifications
  • Post-Secondary Certificate in Business, Administration or Management or a combination of education and experience may be considered an equivalent
  • Experience in general office and administrative operations management
  • Experience in meeting and event coordination, planning, and scheduling, including tools like Microsoft Teams, WebEx, and Zoom to participate in virtual meetings
  • Experience with purchasing and financial processes, as well as associated reporting, including working with Financial Service applications
  • Extensive customer service experience
  • Extensive experience with the Microsoft Office Suite
  • Effective analytical and problem-solving skills
  • Excellent organizational skills with the ability to work under pressure and meet strict deadlines
  • Ability to work effectively as part of a team
  • Excellent interpersonal skills, including conflict resolution skills
  • Effective verbal and written communication skills, including writing reports and correspondence
  • Ability to analyze and streamline processes
  • Experience building a respectful workplace culture that promotes diversity, learning and continuous improvement
Asset qualifications
  • Experience managing facilities and equipment
  • Experience working in aerospace and/or manufacturing industries
  • Experience working with different levels of government (e.g., provincial/territorial, federal, Indigenous, municipal)
