Qualifications

• 2 to 4 years of administrative experience.
• Significant experience with Microsoft 365 (Outlook, Word, Excel and Teams).
• Excellent data entry skills and high attention to detail.
• Excellent written and verbal communication skills.

• Strong client-service mindset.
• Willingness to learn and troubleshoot computer programs.

Responsibilities

• Reception, filing, photocopying, scanning, faxing and mailing.
• Support client service staff to produce high quality deliverables.
• Review and assemble financial statements, tax returns, proposals and presentations using firm templates.
• Prepare letters and reports using firm templates.
• Proofread and verify content before finalizing client deliverables.
• Manage CRM (D365) for marketing purposes and organize information.
• Coordinate internal/external meetings, room bookings, meals, and video conferences.
• Provide billing support using firm systems.
• Welcome clients in person or by phone; answer inquiries.

As an Administrative Assistant your responsibilities will include:

• General administrative duties including, but not limited to: reception, filing, photocopying, scanning, faxing and mailing
• Working independently and within a team environment to support the client service staff to produce high quality client deliverables
• Proficient in Microsoft 365 suite in order to review and assemble financial statements, tax returns, correspondence, proposals and presentations in accordance with firm standards and branding
• Preparation of letters and reports using firm templates in compliance with Firm standards
• Proof-read, review for quality and verify content before finalizing any client deliverables
• Scan documents and embed in electronic file
• Welcome clients by greeting them, in person or on the telephone; answering or referring inquiries
• Participate in training and stay current with company software
• Provide billing support using various Doane Grant Thornton systems and in accordance with the terms of the engagement letter
• Organize information and maintain D365 (CRM database) for marketing purposes using our contact relationship management software
• Coordinating internal/external meetings, room bookings, meals/catering and events, video conferences
• General administrative duties including, but not limited to: reception, filing, photocopying, scanning, faxing and mailing
