About this role

We are recruiting for an Administrative Assistant to join our Victoria office.

The Administrative Assistant will provide administrative support to the Pre-construction team in the preparation and management of job tenders/bids.

Here's how your role will strengthen our team.

Your responsibilities

  1. Support the team in the management and submission of tender bids, including tracking deadlines, compiling necessary documentation, and ensuring all parts of the bid are complete and accurate.
  2. Enter tender details and information into the database.
  3. Research tender opportunities from external sources.
  4. Prepare and set-up project information in the construction management system.
  5. Organize documents to ensure they are easily accessible.
  6. Maintain and organize document packages in shared drives and CRM.
  7. Assist in monitoring the status of bids and provide regular updates to team members on progress.
  8. Document control including helping maintain and organize the most current information in shared job folder sites.

Your experience and skills

  1. High school diploma.
  2. Minimum 2 years' experience in an administrative role.
  3. Work experience in the construction industry.
  4. Work experience in the electrical industry is an asset.
  5. Highly organized and detail-oriented.
  6. Experience with document management systems.
  7. Strong research skills.
  8. Able to quickly learn new software programs.
  9. MS Office (Word, Excel, Outlook). Procore, MS Dynamics CRM, SharePoint is an asset.

Salary range: $50,000-$55,000 per year plus a competitive total compensation package. Actual salary will be commensurate with experience, skills and overall match to the position offered. Let's chat throughout the hiring process and determine the best fit.
