About The Role

We are seeking an Administrative Assistant to support the Senior Vice President, Technology & IT Services Management, and the senior director team. Responsibilities include managing calendars, coordinating meetings, preparing reports, and handling communications.

Key Responsibilities

  • Support the Technology & IT Services Management team with correspondence, calendar management, event planning, and reporting.
  • Coordinate travel, courses, and memberships for the team.
  • Manage invoice and expense reporting, including sign-offs and submissions to Finance.
  • Assist in preparing materials for meetings, including Board and Committee meetings.
  • Support weekly and quarterly team meetings with invites, agendas, materials, and notes.
  • Maintain contacts and correspondence via ServiceNow.
  • Interact with strategic partners and act as a conduit within the team and leadership.
  • Perform other administrative tasks as needed.

Qualifications

  • Over 5 years of support experience in a fast-paced environment.
  • Post-secondary education in Administration, IT, or equivalent experience.
  • Proficiency in Microsoft Office; experience with Power Automate is a plus.
  • Tech-savvy with various business software.
  • Excellent communication skills.
  • Critical thinking and proactive problem-solving skills.
  • Experience supporting IT teams or financial institutions is an asset.
