Your Opportunity

The Administrative Assistant supports our Advisory practice and collaborates with internal and external stakeholders.

Major Responsibilities
  • Prepare and format correspondence, reports, and presentations according to marketing standards.
  • Assist in formatting financial statements and other documents using Caseview/Caseware.
  • Manage the conflict check process from start to finish, including tracking.
  • Handle work in process for billing partners and managers.
  • Manage calendars, schedule meetings, and coordinate catering for on-site and off-site meetings.
  • Plan and coordinate meetings for internal and external clients.
  • Ensure file integrity, management, and backup of digital and physical copies.
  • Prepare T2 assemblies and assist with T1 assemblies during tax season.
  • E-file T2, T1, and trust returns.
  • Manage billing, client invoices, and internal expenses for the advisory team.
  • Provide general office support and shared reception duties as needed.
Qualifications
  • 3-5 years of experience as an administrative assistant in an accounting firm.
  • Experience working with senior leadership.
  • Proficiency with Caseware/Caseview is required.
  • Tax Prep experience is an asset.
  • Expertise in Microsoft Office Suite, especially Excel (pivot tables, VLOOKUPs, conditional formatting) and Word (Design, Reference, Layout).
  • Working knowledge of Adobe Acrobat.
  • Experience editing reports, proposals, and communications, with attention to detail.
  • Support experience within legal or accounting teams is preferred.
  • Excellent communication skills across all professional levels.
