Ontario Health is seeking a highly motivated and detail-oriented Administrative Assistant, Transplant Services to provide comprehensive support to the Director. This pivotal position is designed for individuals who demonstrate exceptional organizational skills and possess the capacity to perform effectively in a fast-paced, professional environment. We encourage individuals who can manage multiple priorities and maintain high standards to apply and join our team.

Here is what you will be doing:

  • Serve as the primary departmental contact, facilitating interactions with internal and external stakeholders, including executives and administrative personnel, with the utmost professionalism and discretion.
  • Manage daily administrative operations, which include scheduling, coordinating, and overseeing departmental activities and calendars.
  • Document and record proceedings at essential meetings, ensuring accurate distribution of minutes and diligent tracking of action items for subsequent follow-up.
  • Draft, review, and finalize official correspondence, agendas, presentations, and special reports to uphold standards of accuracy and clarity.
  • Compile, assess, and interpret relevant data; generate reports and provide foundational analysis to assist in informed decision-making processes.
  • Organize all facets of meeting arrangements, encompassing logistics, technical requirements, refreshments, invitations, name badges, facilitation, and on-site support for interviews and departmental events.
  • Arrange travel and accommodation for senior leadership, ensuring detailed and efficient itineraries for all assignments.
  • Offer support to other groups within the department as required, reflecting flexibility and a commitment to collective success.
  • Uphold confidentiality at all times, demonstrating sound judgment and unwavering integrity in the handling of sensitive information.
  • Provide relief coverage for reception on an as-needed basis

Here is what you will need to be successful:



Education and Experience

  • A post-secondary degree, diploma or certificate in business administration, office administration or an executive secretary program or equivalent
  • Minimum two (2) years of relevant experience in an administrative role in a healthcare setting or a combination of equivalent experience and education.
  • Demonstrated exceptional organizational ability with superior attention to detail.
  • Demonstrated tact, discretion, and diplomacy.
  • Highly motivated self-starter with demonstrated ability to support a team-oriented environment.
  • Ability to maintain confidentiality at all times demonstrating use of discretion and sound judgment.
  • Demonstrated experience recording accurate minutes of meetings.

Knowledge And Skills

  • Commitment to quality and data integrity.
  • Effective problem-solving skills are essential with the ability to work effectively with all stakeholders involved in the donation process.
  • Computer literate.
  • Proven superior written and oral communication skills.
  • Demonstrated problem-solving and analytical skills.
  • Demonstrated event and time management skills with the ability and flexibility to prioritize multiple tasks and projects in a fast paced, results oriented environment.
  • Highly developed interpersonal skills with the proven ability to work effectively with all levels of staff, volunteers and external clients and stakeholders.
  • Demonstrated administrative and computer skills including advanced proficiency in MS Office, including Word, Excel and PowerPoint
