Job description

We are looking for a responsible Administrative Assistant to join our client’s team in the Toronto area for a full-time permanent role. The ideal candidate is someone who has previous experience supporting a team, C-level executives, independent, flexible, proactive, resourceful, and able to confidently communicate with all stakeholders within the organization. To be successful in this role, you should be able to pre-emptively identify and address the needs of the team / executives you will support, get things done, possess the required tact and maturity to deal with confidential information and thrive working in a dynamic and fast-paced environment.

Responsibilities :

  • Effectively and proactively manage calendars
  • Make informed decisions to prioritize and maximize their daily schedule, while identifying and communicating any prioritization issues or conflicts
  • Organize and prepare meetings, including agenda and deck preparation and creation, taking meeting minutes and circulating with senior Executive Team Members to ensuring high degree of transparency, information / data accuracy and aligned communications
  • Manage the North York office, providing general office administrative support including processing invoices, expenses and reimbursements and managing office supplies and equipment
  • Alignment of calendars, booking and preparation of rooms, travel and accommodations as required
  • Set up and maintain various reports, running reports and forecasting as well as report consolidation and presentation in various formats

Requirements :

  • Bachelor’s Degree preferred
  • 2-5 years experience in an administrative role
  • Must be willing to go onsite
  • Pleasant disposition
  • Capable of multitasking effectively
