Our client within private wealth management requires an Administrative Assistant to join their team.

Responsibilities:

  • Providing organized and efficient executive administrative support including: logistics related to calendar/meetings/events, arranging travel, reservations, expenses, and other related duties, managing invoice payment/expenses.
  • Assisting in preparing Advisors for client meetings, including the preparation of account-opening documentation.
  • Processing a variety of transactions (ex: issuing cheques, deposits, contributions and withdrawals, incoming and outgoing transfers).
  • Committing to rigorous follow-ups relating to all client transactions to ensure proper processing and minimization of errors.
  • Having a strong understanding of the firm’s procedures and policies.
  • Maintaining client files, ensuring that all documentation and notes are compliant with industry regulations.
  • Performing general administrative tasks (ex: preparing letters, client communication pieces, etc.)
  • Performing other duties as assigned.

Qualifications:

  • 1+ years of administrative or office support experience, preferably in a financial services or professional office environment
  • Excellent organizational and time management skills with the ability to manage multiple tasks and prioritize effectively
  • Strong attention to detail and commitment to accuracy, especially in handling client transactions and documentation
  • Professional communication skills, both written and verbal
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort working with digital tools and systems
  • Ability to manage calendar coordination, travel arrangements, meeting logistics, and expense processing
  • Demonstrated ability to handle confidential information with discretion
  • Willingness to learn and apply internal policies, procedures, and compliance standards
  • Customer-service mindset with the ability to interact effectively with clients and internal team members
  • Ability to work both independently and collaboratively in a fast-paced, team-oriented environment
  • Previous experience processing basic financial or client transactions is an asset, but not required
  • Post-secondary education in business administration, office management, or a related field is an asset
