About the role :

We are looking to expand an existing team ofhighcaliber individuals who enjoy multitasking and supporting dynamic team environments. As a collaborative team player,taking prideinthe qualityand efficiencyofyourtasks, whilstpromoting a positive office atmosphereisa must.

Ouradministrationteammembershave cross-functional opportunitiesincludingassistingourengineeringteams in a project administrationrole.

Responsibilities :

  • Maintaining a professional and welcoming atmosphere to guests and staff at our Surrey office front desk as well as having the flexibility toassistour project teams as needed
  • Handling internal and external inquiries and requests with tact and diplomacy
  • Creating,distributingandmaintainingreports,formattingand editingproject reports,forms,documents, specifications,standardsand other files. Ensureaccurateandtimelydocumentation and follow-up on project updates
  • Supporting project teams toensure smooth project operations,facilitatingany administrativeproject tasks(i.e.,preparing agendas,attendingmeetings & takingminutes, action logs, etc.)
  • Providing high-quality, efficient project documentation, follow-up reminders and any updates that may arise from project meeting action items
  • Formatting and editing technical documents using the Solaris MCI style guide and templates, including preparing and updating drawing binders for site visits
  • Facilitating project close-outs with the projects team
  • Trackingand processingRequests for Information (RFIs) and upload monthly reports to the system
  • Workingwith the Project Manager tomonitorprogress and handle any issues that may arise
  • Maketravel bookings andarrangements
  • Performing all other project administration and reception duties asrequired

Skills & Qualifications :

  • A college-level diploma, certification or equivalent in administration or technical field
  • Expertiseincustomer service,administrative taskswith some project admin skills
  • At least5-6years of relevant experience
  • Experience in an engineering or construction environmentpreferred but not essential
  • Strong organizational and multitasking skills with high-quality work ethic and output
  • Professional demeanor with excellent interpersonalskills and pro-active approach to tasks
  • Effective verbal and written communication
  • Proficient in using Office 365, including Word, Excel, SharePoint, PowerPoint,and Teams, with the ability to learn new software programsquickly
  • Strong ability to take initiative, engage with co-workers, and adapt to an agile project-driven environment

The salary for this role is based on an average of 37.5 hours a week. The estimated range is between $52,000-$62,000 annually, depending on skills and experience.
