In this role, you will play a key part in keeping our operations running smoothly by managing day-to-day administrative tasks, supporting multiple departments, and ensuring that communication and documentation are handled with accuracy and efficiency. WHAT YOU’LL BRING

  • Strong knowledge of general office procedures involving admin duties to help the office run smoothly and efficiently.
  • Hands-on experience with productivity applications, including word processing, spreadsheets, and presentation software.
  • Excellent writing and communication skills.
  • Superior time management, multitasking, and the ability to prioritize tasks with minimal supervision.
  • High level of sound and independent judgment, reasoning, and discretion.
  • A professional, responsive, and positive work attitude is essential.
  • Previous experience in handling confidential or sensitive information.
  • Minimum two years of relevant administrative experience.
  • Bilingualism (French/English), which is considered an asset but not required.

WHAT YOU’LL DO

  • Provide comprehensive administrative support to all departmental team members.
  • Prepare, review, and format documents, reports, and correspondence for the management team.
  • Professionally receive and screen inbound calls, emails, and client inquiries.
  • Support billing, invoicing, and accounts receivable processes.
  • Coordinate departmental office activities, including internal and external events.
  • Review, process, and distribute incoming and outgoing mail.
  • Manage daily calendars and appointments for partners, management, and other team members.
  • Uphold strict confidentiality in all interactions and documentation.
  • Assist in preparing reports, presentations, and other deliverables.
  • Maintain a professional and polished image in all staff and client interactions.
  • Monitor and maintain office supply inventory; place orders as needed.
  • Arrange travel accommodations with accuracy and attention to detail.
  • Perform other relevant duties as assigned.
