  • French / English bilingualism is required due to client interactions in Quebec and beyond.

Responsibilities

Job Title: Administrative Assistant

What the day will look like

Project & Operational Excellence

  • Manage cross-functional projects and results, employing project management technology (e.g. Microsoft 365 Applications) to track progress, identify risks, and ensure timely execution
  • Collaborate with Client Teams to complete ad hoc initiatives, define success metrics, and deliver outcomes that support strategic objectives.
  • Apply practical knowledge of approved AI tools, automation, and digital workflows to streamline administrative processes, support email triage, improve document generation, and build process efficiencies while following responsible use and data security requirements.
  • Maintain and organize digital assets using platforms such as SharePoint, OneNote, and cloud-based databases, ensuring accessibility and version control.
Administrative Expertise
  • Coordinate complex calendar and email management, time recording, and research tasks, using Microsoft’s suite of efficiency tools, intelligent assistants, automation, and AI-enabled tools to optimize workflows.
  • Coordinate logistics for on-site and virtual meetings, including budgeting, travel, venue arrangements, materials, and catering, with a focus on user experience and sustainability.
  • Participate actively in leadership meetings, capturing action items and follow-ups using collaborative tools and services.
  • Provide backup support to other Client Service Delivery Associates, ensuring continuity and resilience across the team.
Culture & Engagement
  • Lead by example in maintaining a flexible, proactive, and effective approach to supporting others.
  • Build and sustain a strong internal network, sharing standard methodologies and contributing to enterprise-wide initiatives.
  • Attend and contribute to workshops, seminars, and town halls focused on administrative excellence, innovation, AI adoption, technology enablement, and organizational culture.
  • Serve as a certified Brand Ambassador, ensuring all communications and materials reflect the organization’s identity and values.
