Chabad Lifeline : Administrative Assistant Role

ABOUT US :

Chabad Lifeline is a non-profit organization dedicated to helping individuals and families affected by addiction. We offer free and immediate outpatient support through a range of individual and group services, including youth counseling, parent coaching, and family counseling. Our approach is compassionate, nonjudgmental, and accessible to anyone, regardless of age, background, or circumstance.

ABOUT THE ROLE :

This is a highly dynamic, people-focused Administrative Assistant role that combines executive assistance, team support, volunteer coordination, and light tech and communications management. The ideal candidate is organized, proactive, and flexible, with strong communication skills and a “pitch-in wherever needed” attitude.

SALARY / RATE : Commensurate with experience

CORE RESPONSIBILITIES :

  • Executive Assistance & Multitasking : Support the Rabbi in daily operations : take notes during calls, track follow-ups, and manage reminders for meetings, emails, and calls.
  • Writing & Editing : Draft and edit newsletters, email communications, and grants - often working from dictation to match the Rabbi’s tone.
  • Team Support & Office Maintenance : Assist with small tasks, workspace organization, and practical needs - approach the role with a positive, can-do attitude (say “yes” whenever you can)
  • Volunteer Coordination : Manage schedules, onboard and support volunteers, and step in at the front desk as needed to ensure smooth coverage.
  • Technical Troubleshooting & Support : Handle basic tech issues by coordinating with service providers and acting as the main point of contact for office tech problems.
  • Administrative Organization : Maintain an organized Google Drive and ensure all documents are saved properly and easy to locate.
  • Design Work (Canva) and Website Management : Create and update flyers, letters, and branded materials with a clean, professional look. Make small updates and edits to the Wix website

  • Excellent communication, writing, and editing skills, with attention to tone and clarity
  • Highly organized, proactive, and comfortable multitasking in a dynamic environment
  • Tech-savvy and resourceful, with experience in Google Workspace, Canva, and basic website editing (Wix)
  • Warm, friendly, and professional—especially in volunteer and guest-facing interactions
