Job description

We are currently recruiting for an Administrative Assistant in our Montréal office, within the Philanthropy and Community Relations department. We are seeking a qualified, dynamic and dedicated individual to join our team and contribute to the success of our company.

Main responsibilities

Reporting to the Associate Vice-President, Philanthropy and Community Relations, your key responsibilities will include:

  • Ensure coordination of activities, management of priorities and fluidity of internal and external communications
  • Proactively manage the AVP's agenda, including scheduling meetings and following up on commitments
  • Plan and coordinate travel (itineraries, accommodations), ensuring optimization of time
  • Prepare and revise various documents and communications: presentations, letters, etc.
  • Maintain contact with internal and external stakeholders, including management, strategic partners and community organizations
  • Participate in the management of special projects and follow up on key issues
  • Manage confidential information and exercise sound judgment in managing priorities

Requirements
  • University degree in administration, communications, political science or related field
  • Minimum of 3-5 years of experience as an administrative assistant or in a similar role
  • Excellent command of the Microsoft Office suite
  • Excellent communication and presentation skills
  • The position requires an advanced level of oral and written French and English. The successful candidate will interact on a daily basis with representatives of the Group's various entities based in North America and Europe.
  • Must be highly efficient, organized, and detail-oriented
  • Professionalism, excellent interpersonal skills, dynamism and team spirit
  • High degree of discretion and tact, and be able to deal with situations of a sensitive and confidential nature
  • Ability to evolve in a constantly changing environment
  • Must possess excellent judgment and practical sense
