Job description

Pay Range : $22–$25 CAD / hour

Schedule : Part-Time (2-3 days / week and for holiday coverage : 5 days / week up to 9 weeks in a year)

We’re seeking a bilingual Administrative Assistant to provide vital executive support to the Executive Vice President & Chief Operating Officer in a dynamic, fast-paced environment.

What You’ll Do :

Manage a highly active calendar of appointments and meetings for the EVP & COO

Compose and prepare confidential correspondence and documents

Serve as a communication bridge between the EVP office and internal departments

Support daily administrative tasks including filing, photocopying, scanning, and document management

Maintain strict confidentiality and professionalism when handling sensitive information

Assist with ad hoc projects and ensure smooth workflow within the executive office

Uphold company policies including safety and privacy protocols

What We’re Looking For :

Fluent in both English and French, with expert written and verbal communication skills

Strong organizational skills with the ability to multitask and prioritize effectively

Highly resourceful, able to work independently and as part of a team

Proven discretion and emotional maturity when handling confidential information

Ability to meet deadlines in a fast-paced environment

Excellent interpersonal skills to build relationships with staff, board members, and external partners

Prior administrative experience supporting senior executives is a plus
