Job summary

AMCTO is Ontario’s largest volunteer municipal sector professional association. We are seeking an Administrative Assistant to support Finance and Administration and Education portfolios on a 13-month full-time contract with hybrid work. Responsibilities

  • Providing accounts payable, accounts receivable and other accounting-related assistance.
  • Processing payment of annual membership dues.
  • Receiving and processing registrations and refunds for education and professional development events.
  • Preparing and distributing materials for professional development and education programs.
  • Supporting the administration and delivery of professional development and education programs.
  • Recording and processing individual education records, transcripts and graduation certificates for education and diploma/certificate programs.
  • Receiving general inquiries and directing to appropriate party.
  • Welcoming guests at AMCTO office including Board and Committee members and members.
  • Monitoring and coordinating paper/electronic records management activities.

Job description

AMCTO is Ontario’s largest volunteer municipal sector professional association. Our mission is to deliver professional growth, networks, advocacy, and leadership to support and strengthen the knowledge, skills, and capabilities of municipal professionals now and into the future.

The Association is seeking an experienced, energetic, and collaborative individual who will play a key support role in achieving AMCTO’s core mission and serving our amazing members through the position of Administrative Assistant. In addition to general organizational support, this full-time contract position will assist with Finance and Administration, Education and Professional Development portfolios.

Reporting to the Manager, Finance and Administration and working with the portfolio Managers and Coordinators, your primary responsibilities will include:

  • Providing accounts payable, accounts receivable and other accounting-related assistance;
  • Processing payment of annual membership dues;
  • Receiving and processing registrations and refunds for education and professional development events;
  • Preparing and distributing materials for professional development and education programs;
  • Supporting the administration and delivery of professional development and education programs;
  • Recording and processing individual education records, transcripts and graduation certificates for education and diploma/certificate programs;
  • Receiving all general telephone inquiries and incoming correspondence and general e-mail inquiries and responding or directing to the appropriate party;
  • Receiving guests to the AMCTO office including Board and Committee members, Association members and external service providers;
  • Monitoring and coordinating the Association’s paper and electronic records management activities;

Candidates for this position should possess:

  • Post-secondary certificate in office administration, business or a related discipline supplemented by additional word processing and customer service training;
  • Experience in a professional association or similar non-for-profit setting;

AMCTO has a hybrid work environment with in-person office days required to meet operational needs. Additionally, part of your role may include travel for meetings, conferences, forums and events to further the organizational goals.

Thestartingsalaryforthispositionis$54,500and can increasedependingupon skills and experience and includes participation in the OMERS pension plan and health benefits.

The position is a 13-month contract position covering a staff leave with an option of extending the contract to an additional 6 months.
