Position Overview
Provide administrative support to the Site Manager and the Main Operating Base (MOB) Comox Canadian SAR Helicopter Team.
What You Will Do
- Provide general administrative support, including typing memos, presentations, proposals, distributing mail, answering phones, and taking minutes.
- Prepare paperwork related to Person Responsible for Assignment Authority (PRAA) authorization.
- Maintain correspondence and filing systems.
- Take minutes at meetings.
- Coordinate office supplies acquisition for MOB.
- Arrange staff and visitor travel and prepare travel claims.
- Coordinate visitor security arrangements at MOB.
- Manage MOB vacation requests and CTO software.
- Complete daily timekeeping.
- Assist in tracking financial transactions, reconciling credit card expenditures, petty cash, and other processes.
- Update routine office lists, forms, registers, and amend Standard Plant Procedures, Administrative Directive, Quality Standard Procedures.
- Coordinate MOB submissions to WorkSafe BC.
- Perform other tasks as assigned by the Site Manager.
What You Will Bring
- Grade 12 High School completion certificate.
- Minimum of five years’ experience in an administrative role.
- Excellent typing skills.
- Proficiency with Microsoft Office Suite.
- Experience in taking and preparing meeting minutes.
- Knowledge of general office practices.
- Commitment to IMP Occupational Health, Safety, and Environment policies.
- Focus on safety and compliance with federal health and safety legislation.
- Participation in Continuous Improvement, Lean, and 5S activities.
- Eligibility for Canadian Controlled Goods Program (CGP), U.S. ITAR, and Canadian security clearances.
