About the Role

Are you looking for your next opportunity in the insurance industry? MutualONE is seeking an Administrative Assistant to join our administration team. Reporting to the CFO, you will provide day-to-day administrative and operational support across all departments. This role plays a key part in ensuring smooth office operations, including managing policy documentation, processing payments, coordinating mail and courier services, and supporting reception. The Administrative Assistant will also be responsible for document accuracy, scanning, retention, and distribution. This position is ideal for someone who enjoys variety in their work, has strong attention to detail, and thrives in a supportive team environment.

Key Responsibilities
  • Manage and distribute policy document paperwork
  • Review returned mail, distribute appropriately, and follow up
  • Reprint of policy documents as requested
  • Prepare policy documents in envelopes for mailing
  • Pick up and deliver mail to post office
  • Manage document scanning, retention & disposal
  • Prepare courier packages
  • Process credit card payments
  • Work collaboratively with Reception to provide daily support and serve as backup during absences.
  • Perform day-to-day administrative and operational tasks, with support to all departments
  • Other duties as assigned.
Qualifications
  • Have a minimum of a College Diploma and/or combination of High School Diploma & relevant experience
  • Have insurance industry knowledge (preferred)
  • Have the ability to adapt to changes in technology, processes, and workflows
  • Ability to handle confidential information with discretion and professionalism
  • Willingness to take on additional responsibilities or assist with special projects as needed
  • Excellent computer skills, including proficiency in Microsoft Office Suite
  • Excellent communication skills both verbal and written
  • Accuracy and attention to detail while working under tight deadlines
  • Good interpersonal and customer service skills
  • Work well independently, while also working well in a team environment
  • Good organisational, time management and prioritizing skills
  • Completion of a Criminal Record Check will be required
