Job description

The Opportunity

The Graduate Students’ Association (GSA) at the University of Guelph is seeking a highly organized and motivated Administrative Assistant to support the daily operations of the GSA Office in accordance with the Constitution and Bylaws of the Graduate Students’ Association (GSA). The Employee shall report directly to the GSA Business Operations Manager, followed by the GSA President & CEO and GSA Vice President Internal and GSA Vice President Finance. This position requires the Administrative Assistant to be on location at the University of Guelph’s Graduate Students’ Association Office, during working hours.

Key Responsibilities:

  • Provide Administrative Support to facilitate efficient daily office operations.
  • Manage the official GSA email account and act as the first point of contact for inquiries.
  • Serve as receptionist and act as the first point of contact for all in person phone and email inquiries.
  • Record, transcribe and distribute accurate and timely minutes for Executive and Committee Meetings.
  • Maintain detailed and organized records of Executive and Committee proceedings.
  • Schedule and coordinate Executive, Committee and Stakeholder meetings including room bookings and logistics.
  • Support GSA Executives with administrative duties and projects as needed.
  • Coordinate the accreditation process for GSA councils and collaborate with the VP Academic to develop and update council policies.
  • Support with Universal Bus Pass program. Collaborate with the VP Community Engagement to address and resolve student complaints and operational issues related to campus transit program.

Requirements:

  • Experience in administration and proficiency in Microsoft Office suite.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize tasks efficiently.
  • Excellent written and verbal communication skills.
  • Self-motivated with a proactive approach to problem-solving.
