What You'll Do

In this role, you'll act as an administrative assistant to our Estimating & Purchasing department to ensure effective purchase order management, meticulous contract administration, and efficient scheduling of trade appointments. Your attention to detail, organization skills, and ability to thrive in a fast-paced environment will contribute to the seamless execution of our renovation projects.

Here's a breakdown of what your day-to-day might include:

  • Manage the Estimating Department's task schedule, ensuring timelines and milestones are met.
  • Track daily progress and prepare clear, concise reports for weekly meetings, including meeting minutes.
  • Collaborate with Senior Estimators to gather project details such as blueprints, specifications, and supporting documents.
  • Input and organize estimating data using company software to support accurate analysis and reporting.
  • Compile and distribute complete tender packages to trades and suppliers.
  • Assist with reconciliations and documentation packages for various departments.
  • Prepare and manage purchase orders to ensure timely material and supply procurement.
  • Coordinate trade appointments and deliveries with subcontractors and suppliers to maintain project schedules.
  • Maintain organized records of contracts, change orders, and related correspondence.
  • Support ongoing improvements to estimating systems, tools, and processes.
  • Provide backup reception and administrative support for the front desk, including answering phones and greeting visitors as needed.
  • Other duties as assigned.

What You Bring

We're looking for someone who's organized, motivated, and ready to learn. You don't need to know everything but you should be curious, detail-oriented, and willing to roll up your sleeves.

  • Strong administrative skills with at least 1 year of experience.
  • Experience in the construction industry (especially in assisting estimating or purchasing) is an asset.
  • Familiarity with purchase order management, contract administration, and scheduling are assets.
  • Familiarity with construction materials and trade practices.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both written and verbal.
  • Comfortable using Microsoft Word, Excel, and Outlook as well as learning new systems.
  • Ability to work collaboratively in a team environment and maintain positive relationships with colleagues, subcontractors, and suppliers.

Working Conditions

  • Primarily office-based with regular computer use; involves sitting for extended periods.
  • This is a full-time, Monday to Friday, 8 am – 5 pm office-based position located at our Edmonton office.
  • Frequent use of standard office equipment, including keyboard, mouse, printer, and scanner.
  • Occasional walking, bending, and light lifting (up to 15 lbs) may be required.
  • Regular interaction with internal teams and external vendors, requiring strong communication and multitasking in a busy environment.
  • Must be comfortable working with deadlines and shifting priorities in a fast-paced, collaborative setting.
