Job Title : Administrative Assistant

Job Description

The Administrative Assistant position involves securing contract signatures from vendors and facilitating the procurement and exchange of contract documentation among internal and external stakeholders. This role requires methodical maintenance of contracts within the Contract Lifecycle Management (CLM) system, ensuring accuracy and compliance with Canadian trade agreements and organizational policies. Additionally, the position provides training and assistance on records management policies and supports financial and supply chain systems to enhance healthcare delivery.

Responsibilities

  • Maintain contract records within the CLM system.
  • Ensure compliance with Canadian trade agreements and organizational policies.
  • Route audit and FOIP information requests.
  • Provide training on records management policies and procedures.
  • Facilitate access to procurement systems and manage user accounts.
  • Proof and format system access documents.
  • Track records in Excel.
  • Answer phone calls and emails.
  • Create documents as required.
  • Act as a point of contact for stakeholders.
  • Provide administrative support to Contract Coordinators.
  • Review requests from the AHS Contracting department.
  • Process and triage submitted requests.
  • Support access to various online platforms.

Essential Skills

  • Proficiency in administrative support and data entry.
  • Expertise in Microsoft Office Suite tools with 3 years of experience.
  • 2 years of relevant experience in a similar role.

Additional Skills & Qualifications

  • Post-secondary education in supply chain, procurement, business, or related field (minimum 2-year diploma).
  • Post-secondary education in office administration.
  • 1 year of experience with MS 365 SharePoint Online admin portal.
  • 1 year of experience in coordinating contract documents.
  • 1 year of working experience with Oracle 12.1.2.

Work Environment

This is a Hybrid role primarily working remotely, with occasional in-office meetings in Edmonton, AB. Standard work hours are 8:15 AM to 4:30 PM Alberta time, Monday through Friday, excluding provincial holidays. The office is located at Telus Plaza North Tower, Edmonton, AB. Travel and associated expenses to and from Edmonton for meetings are at no cost to the Province.

Pay and Benefits

The pay range for this position is $18.00 - $20.00 / hr.
