Responsibilities
  • Coordinating appointments, meetings, travel arrangements, calendars, catering, and document preparation for the Director and management team.
  • Preparing correspondence, minutes, action lists, and supporting materials while prioritizing commitments.
  • Handling communications, including responding to internal and external inquiries and managing email and phone correspondence.
  • Tracking and following up on actions assigned to the Director, Manager, or division staff.
  • Acting as a liaison between leadership and staff within the division.
  • Maintaining accurate records, files, and follow‑up systems for outstanding issues.
  • Composing, formatting, and issuing correspondence, agendas, minutes, reports, and presentations to meet Canadian Nuclear Laboratories (CNL) document standards.
  • Managing electronic filing systems, public folders, and shared workspaces.
  • Handling confidential information related to staffing, human resources processes, and financial documents.
  • Assisting with gathering information for requests to hire, performance management, and succession planning.
  • Updating skills by attending required training, reviewing materials, and participating in seminars.
  • Identifying and reporting safety concerns and complying with all Workplace Hazardous Materials Information System (WHMIS) and safety procedures.
  • Managing administrative tasks such as ordering supplies, photocopying, printing, submitting IT or maintenance requests, arranging travel, and processing expense reports.
  • Other duties as assigned by your manager.
Qualifications
  • Education
    • Secondary School Graduation.
    • Post‑secondary training in Office or Business Administration, or a similar field.
  • Experience
    • A minimum of 7 years of experience in an administrative role, or an equivalent combination of experience and training.
  • Knowledge, Skills & Abilities
    • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint, and Outlook.
    • Strong written communication skills, including editing, grammar, spelling, and document handling.
    • Excellent time management and the ability to prioritize, multitask, and meet deadlines.
    • Strong problem‑solving skills and attention to detail.
    • Ability to work independently with minimal supervision.
    • Team‑oriented mindset with the ability to promote a positive work environment.
    • Demonstrated tact, diplomacy, discretion, and sound judgment when handling confidential information.
    • Ability to work efficiently in a fast‑paced environment.
    • Knowledge or willingness to learn CNL business systems, including Oracle, ATOM, DevonWay, myCNL, and other platforms.
    • An understanding of Quality Assurance requirements is considered an asset.
    • Ability to use office equipment such as printers, photocopiers, scanners, and audio/video conferencing tools.
  • Security Clearance Eligibility
    • Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3‑5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
Working Conditions
  • Working schedule: Four (4) days per week, ten (10) hours per day for a forty (40) hour work week, starting at 6:00 a.m. to 4:30 p.m.
