About the Faculty of Continuing Education
Mount Royal University’s Faculty of Continuing Education has provided high quality education to the Calgary community and beyond for more than 75 years. Serving more than 30,000 students per year, we offer a suite of Ministry of Advanced Education-approved programs (occupational programs in massage, personal fitness trainer and funeral education; academic upgrading; and our Transitional Vocational Programming), over 60 programs and 350+ courses to support professional and personal development in a wide range of topics, and our Conservatory (which offers a broad range of music and speech arts programming). Our courses cover a wide range of topics, including but not limited to business, technology and health. These courses are offered in a variety of formats on campus, online, in the workplace, and in the community.
About The Role
Reporting to the Manager, Business Processes and Strategic Operations, the Administrative Assistant supports the effective day-to-day operations of the Faculty of Continuing Education by providing a wide range of clerical, administrative, and organizational services. This role includes support across all areas of the Faculty, as well as responsibilities related to special projects, financial administration (including Banner contract management and PCard reconciliation), and tasks associated with payroll and finance. The Administrative Assistant also serves as a key communication link for the Faculty, both internally and externally.
Responsibilities
- Prepare and distribute agendas, schedule and book meeting rooms, and order catering.
- Distribute institutional-wide and faculty-wide messaging, including policies.
- Create and distribute student parchments.
- Act as a contact for external stakeholders and demonstrate positive customer service skills in all interactions.
- Maintain program databases and file management systems.
- Research and respond to a wide variety of inquiries and issues for the faculty.
- Arrange travel, transportation, and accommodations for conferences, meetings, or events.
- Provide special project support (as required), such as compiling statistics and special reports.
- Access Banner and Destiny One Systems for reports and preparation of instructor contracts.
- Monitor and communicate payroll deadlines to programming teams and ensure processing of instructional contracts in a timely manner.
- Prepare PCard entries for the director, dean, managers, and program areas.
- Prepare requisitions for payment of business contracts, invoices for special services and purchases, cash reimbursement of expenses, and invoicing of customers.
- Arrange and follow up with other departments and external vendors for repairs, maintenance, and supplies.
- Arrange for office moves and installations of computer/telephone equipment via Frontline.
- Manage inventory of office supplies and marketing supplies.
Qualifications
- One year post secondary certificate or diploma program.
- 3 - 5 years of related administrative experience.
- Proficiency with the Google Suite (Gmail, Forms, Docs, Drive, etc.) and Microsoft Suite.
- Previous experience working in a post-secondary environment would be an asset.
- Familiarity with student and financial systems, including Destiny One, Banner, and Chrome River would be an asset.
- Ability to multitask, manage multiple priorities, and work with considerable independence.
- Excellent professional and interpersonal communication.
- Strong attention to detail and organization.
Salary: $45,992 - $58,244
