Job Summary

Are you passionate about creating a seamless office experience and supporting top-tier managers? Reporting directly to the Site Lead, our Administrative Assistant plays a vital role in ensuring smooth office operations. As the first point of contact for visitors, you will provide a positive experience, support senior managers, coordinate office functions, and handle site-related queries.

Main responsibilities include (but are not limited to):

  • Providing administrative support to management and departments
  • Greeting visitors and managing reception duties
  • Managing calendars and coordinating meetings
  • Arranging travel, processing expenses, and organizing office events
  • Planning and executing conferences and special events
  • Handling room reservations, catering, and rental needs
  • Preparing reports and ensuring timely distribution
  • Creating graphs and charts using spreadsheet and graphics software
  • Screening and directing phone calls
  • Answering queries and referring inquiries appropriately
  • Managing incoming mail and maintaining confidential files
  • Creating meeting agendas, taking minutes, and distributing information
  • Arranging video conference meetings
  • Organizing social events in collaboration with the team
  • Administering site-related tasks
