Job summary

A leading safety equipment company in Ontario is seeking an Operations Administrative Coordinator to provide day-to-day support services. This role involves managing ERP tasks, supporting HR functions, and ensuring a smooth operation of administrative duties. Ideal candidates will have an Office Administration certificate and at least 2 years of related experience, coupled with strong organizational and communication skills.

Qualifications

  • At least 2 years of office administrative experience in a similar role.
  • Ability to learn other software programs.
  • Experience with AX Dynamics or other ERP systems is an asset.

Reporting to the Director of Operations, the Operations Administrative Coordinator is responsible for providing day-to-day support services to the location and its associates. This includes working within the ERP system, handling administrative and facility duties to support the business.

Responsibilities include:

  • Completing various tasks within the ERP system (AX Dynamics) for production, including creating production orders in collaboration with Customer Care and Production Supervisors.
  • Supporting the human resources department with employee training administration, onboarding, filing, and other administrative tasks.
  • Assisting various departments with data entry, mailings, audits, reconciliations, and other administrative duties.
  • Coordinating the Joint Health & Safety Committee program, scheduling meetings, and preparing/distributing minutes.
  • Greeting visitors, maintaining the visitor log, assigning badges, and tracking their return.
  • Responding promptly to incoming calls and directing them appropriately in a professional manner.
  • Maintaining the company phone list, meeting room calendars, and mail slots.
  • Managing office/kitchen supplies, including procurement, and ensuring tidiness of the photocopy area and meeting rooms. Ensuring coffee supplies are available for staff and visitors.
  • Occasionally organizing catering and community pickups as required.
  • Maintaining respectful communication with colleagues and supervisors.
  • Following the company's ISO Quality Policy, understanding its impact on the company's performance and competitiveness.
  • Performing other duties as assigned.

Education & Qualifications:

  • Office Administration certificate or equivalent.
  • At least 2 years of office administrative experience in a similar role.
  • Strong verbal and written communication skills, proactive attitude, good organizational and prioritization skills.
  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint, Outlook; strong keyboarding skills.
  • Ability to learn other software programs.
  • Experience with AX Dynamics or other ERP systems is an asset.
