We are seeking a high-performing Administrative Assistant to join our dynamic team. This is your opportunity to be part of a mission-driven organization that values you and your expertise and dedication. The successful candidate can be located anywhere in Alberta, Saskatchewan, or Manitoba but will need to work our core business hours in the Central Standard Time zone. The role requires occasional flexibility in the work schedule to provide coverage in other time zones, as required.

What You’ll Do

  1. Administrative Execution & Coordination: Organize client files, process reports, manage invoicing, and ensure accurate data entry, document control, and timely delivery of formatted documents.
  2. Process Improvement & Strategic Support: Identify and resolve administrative bottlenecks by proposing streamlined solutions, supporting automation initiatives, and standardizing procedures to enhance efficiency and accuracy across departments.
  3. Cross-Team Collaboration & Stakeholder Support: Collaborate with Professional Services, Finance, and Business Development to integrate administrative functions seamlessly while providing client and internal support through effective communication and timely document delivery.

You easily manage multiple projects and are naturally focused on providing internal stakeholders and external clients with high levels of service to meet our brand promise. You are able to communicate openly, timely, and effectively, and you encourage and support others in working to create “win-win” solutions. You hold yourself and others accountable for demonstrating core values and producing quality and time and cost-effective results. You have solid administrative technical skills and knowledge including MS Office, while finding efficient ways to complete assignments, optimize workflows, and reduce inefficiencies.

Your Credentials

  • Diploma or an accredited Business School Certificate in Administration or a related discipline;
  • Minimum of 2 years in an administrative function;
  • Strong problem-solving, analytical, and organizational skills;
  • Expertise with Microsoft Office Suite (Word, Excel, Outlook);
  • Minimum keyboard speed of 50 words per minute;
  • Experience in leveraging technology for process improvement, project coordination, and workload forecasting and allocation are assets;
  • A combination of education, knowledge, and experience will be considered.
