Job description

The Opportunity

As part of the Wajax team, the Administrative Assistant/Receptionist is responsible for greeting onsite visitors to the branch, answering phones, transferring calls to appropriate departments. The incumbent will also handle various administrative duties including ordering office supplies, distributing incoming mail, preparing outgoing mail, and creating documents using Word, Excel, and PowerPoint.

The Role
  1. Greet visitors, customers, and vendors.
  2. Answer incoming calls and manage correspondence.
  3. Manage incoming and outgoing mail.
  4. Open service work orders.
  5. Prepare estimates and obtain purchase order numbers.
  6. Respond promptly to customer inquiries, providing excellent internal and external service.
  7. Check and set up customer accounts as needed.
  8. Maintain strong communication between technicians, administration, parts, and customers.
  9. Post time to work orders and process payroll.
  10. Build and maintain customer relationships, including scheduling appointments and handling inquiries.
  11. Schedule technicians for service work and take customer calls.
  12. Maintain communication between the customer and service/parts departments during the work order process.
  13. Monitor shop job statuses, ensure process adherence, and report to the service manager.
  14. Issue internal MRO purchase orders, track, and receive vendor invoices.
  15. Perform additional duties as assigned.
  16. Flexibility during high-demand periods is required.
The Candidate
  • College diploma or post-secondary education.
  • 2-3 years of office administration experience.
  • Knowledge of industrial environments, health, safety, and ISO standards.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Basic knowledge of heavy equipment is an asset.
