Administrative and Technology Assistant (NWT Career Centre)
Location: Yellowknife, Northwest Territories
Position Type: Part-time (0.75 FTE)
Reports To: Manager, NWT Career Centre

The ideal candidate for the Administrative and Technology Assistant role at the NWT Career Centre combines robust administrative experience with technological proficiency, particularly in Microsoft 365 and emerging AI tools like Microsoft 365 Copilot. They should possess strong organizational skills, exceptional attention to detail, and the ability to effectively manage multiple tasks, supporting both routine administrative operations and technology-driven projects.

Additionally, the candidate will ideally hold relevant academic qualifications or equivalent experience, demonstrate excellent communication skills, and exhibit a foundational understanding and enthusiasm for AI and data management. Fluency in two or more official languages of the Northwest Territories is an asset, reflecting our organization's inclusive values and diverse community engagement.

Duties and Responsibilities:
Administrative Support
  1. Manage schedules, arrange meetings, and coordinate internal and external communications.
  2. Prepare reports, presentations, and maintain documentation for various Career Centre activities.
  3. Assist with event coordination, training sessions, and workshop logistics.
Technology and AI Implementation Support
  1. Support the implementation of the NWT Career Centre’s AI Roadmap, particularly Microsoft 365 Copilot and associated agent-based AI tools.
  2. Work with IT support and stakeholders to manage user accounts, permissions, and troubleshooting related to AI and general technology issues.
  3. Document AI integration processes, assist in data collection and reporting, and monitor adoption metrics and feedback.
  4. Support the management and organization of data using tools like Power Bi and SharePoint.
Typically, the successful applicant will meet the following:
  1. Diploma or Degree in Business Administration, Information Technology, or a relevant field; equivalent experience will also be considered.
  2. Minimum 2 years experience in administrative support.
  3. Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, SharePoint) and familiarity with Microsoft 365 Copilot is highly desirable.
  4. Basic understanding of AI technologies and interest in emerging technologies.
  5. Strong organizational skills, attention to detail, and excellent time management.
  6. Demonstrated ability to handle multiple tasks and prioritize workload effectively.
  7. Speaking two or more official languages of the Northwest Territories is considered an asset.
  8. Training in AI literacy, particularly with generative AI or AI-driven productivity tools.
  9. Understanding of data governance principles and practices.
