Your opportunity:

Working as part of a team, the Administrative and Financial Assistant provides front line support to inquiries and administrative and financial support at University College. The Assistant performs financial administration activities including preparation of expense reimbursements, payment of invoices, accounts payable and receivable. The Assistant also collects relevant documentation, verifies for completion and processes payroll for casual, and staff-appointed groups.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries, distributing incoming and outgoing mail and deliveries
  • Preparing accounts payable and accounts receivable according to the University Guide to Financial Management
  • Verifying that supporting documentation is attached to financial records before processing in FIS, checking that proper approvals are obtained prior to submitting for processing
  • Identifying and resolving individual financial discrepancies
  • Maintaining filing system, updating and maintaining records, performing routine data entry
  • Collecting supporting documentation required for payroll and/or HRIS processing; processing payroll

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable equivalent combination of education and experience.
  • Minimum two (2) years’ relevant financial administrative experience including processing invoices and expense reimbursements or equivalent financial administration tasks
  • Demonstrated understanding offinancial administrative procedures and ability to apply guidelines and procedures to a variety of tasks
  • Demonstrated strong organizational and administrative coordination skills
  • Excellent verbal and written communication skills
  • Demonstrated skills in providing strong front-line customer service, strong team player
  • Strong MS Office skills including Word, Excel, Outlook
  • Demonstrated strong attention to detail and ability meet strict deadlines
  • Demonstrated ability to apply a variety of procedures and policies, ability to reconcile detailed information and respond to a variety and high volume of tasks
  • Demonstrated ability to prioritize deadlines and to maintain a high level of accuracy, filing and record keeping skills
  • Excellent time management and organizational skills and ability to anticipate operational needs and to adapt to changing deadlines

Assets (Nonessential):

  • Experience working with HRIS, FIS, or equivalent organizational systems
  • Payroll experience for a variety of employee groups
  • Knowledge of the University Guide to Financial Management
