Salary: $46,903 annually (Level 4), plus comprehensive benefits

Position Overview

The Administrative and Finance Assistant supports the Women in Trades & Technology (WiTT) programs, providing administrative and financial support to the Manager and Business Administrator, and performing front desk duties as needed.

About YWCA Toronto – Women in Trades and Technology

This program offers training and employment services for women and gender-diverse individuals interested in construction, landscape, and information technology industries. Funded by MTCU, it aims to educate and train participants in trades-specific programs for non-traditional careers.

Key Responsibilities
  1. Support the Manager and staff with administrative and organizational tasks, prioritizing urgent matters.
  2. Manage records, data collection, and entry into YWCA databases accurately and promptly.
  3. Assist in preparing monthly claims and reviewing budgets for WiTT funders, in consultation with the Manager and Business Administrator.
  4. Contribute to the preparation and submission of financial claims.
  5. Help in budget monitoring and preparation in collaboration with the Manager.
  6. Maintain bookkeeping records to the satisfaction of the Manager.
  7. Review monthly reports from Finance, address discrepancies, and generate journal entries for corrections.
  8. Assist in preparing financial statements for reviews and year-end reports.
  9. Support accounts payable and receivable processes in GP Dynamics, monitoring outstanding payments as needed.
Qualifications
  • Bachelor's degree in business administration, commerce, or related field.
  • Basic accounting skills, including bookkeeping and general principles.
  • 1-3 years relevant work experience.
  • Proficiency in Windows, Excel, Word, Outlook, and database applications.
  • Ability to work independently with flexibility, adaptability, and problem-solving skills.
  • Knowledge of employment and trades programs is an asset.
  • Ability to work under pressure and within an anti-oppression and feminist framework.
  • Excellent communication and organizational skills.
  • Experience in multicultural environments and troubleshooting computer hardware/network issues.
  • Additional language skills (e.g., Somali, Tamil, Urdu, Hindi, Arabic) are assets.
