Administration Manager

As an Administration Manager, you will be responsible for overseeing all Terminal Administration, Customer Service, APT, Check-in, Check-out, LH OTB, and reporting department functions. Developing an engaged and motivated admin team is critical to the success of this role. A motivated, administrative professional with an emphasis on customer solutions and process improvement will be key to your success.
You will be a key manager in the terminal and have an important role in the overall success of operations. You will work with other managers as a unified team to achieve high customer satisfaction and improve current processes.
How You’ll Help
- Manage the admin staff to ensure service, quality, and productivity objectives are met.
- Plan and coordinate administrative procedures and systems; devise ways to streamline processes.
- Manage employee issues such as poor performance, inappropriate behaviour, absenteeism, etc.
- Recruit and train employees on systems, processes, and workflows.
- Lead and support performance management processes, supporting employees' personal and professional development.
- Monitor inventory of office supplies and manage purchasing within budget constraints.
- Ensure employee scheduling meets customer and operational demands and complies with internal hours of work policy.
- Collaborate with terminal-based teams and centralized corporate functions.
- Maintain high service levels for internal and external customers.
- Cultivate a positive and productive office culture.
- Manage and maintain a safe office environment.
- Oversee office communications and announcements.
- Assist the Terminal Manager with special projects as needed.
- Serve as the point of contact for employee inquiries about office policies, benefits, and HR matters.
- Assist in onboarding new employees.
- Act as a liaison between departments to ensure effective communication and coordination.
- Regularly review KPIs to ensure they align with organizational goals.
- Perform other duties as required.
Your Skills & Experience
- Post-secondary education in business administration or a related field is an asset.
- A combination of education and experience may be considered.
- At least 1 year of experience in billing, transportation, or a related field.
- Experience in project management of large complex projects is beneficial.
- Deep knowledge of the technology environment.
- Background in business or equivalent work experience preferred.
- Experience with complex supply chain management methodologies.
- Advanced communication skills.
- Proficiency with MS Office, Oracle, and web-based programs.
- Strong customer relationship skills.
- Conflict resolution skills.
- Detail-oriented with the ability to work accurately in a high-volume, fast-paced environment.
- Ability to collaboratively champion business needs.
- Results-focused.
