Senior Administrative Assistant

Segal GCSE LLP is a rapidly growing mid-size accounting, tax and business advisory firm situated in midtown Toronto. Responsibilities

  1. Provide administrative support to tax partners, principals, senior managers, managers and client service teams.
  2. Adhere to risk management and branding in compliance with the firm’s guidelines.
  3. Coordinate, prepare, proofread documents including correspondence, tax memos, presentations, letters, Power Point presentations and reports.
  4. Coordinate meetings, conference calls, video conferences, and organize any required materials.
  5. Maintain partner contacts.
  6. Submit and reconcile expense reports.
  7. Act as a point of contact for internal and external clients.
  8. Assist with monitoring WIP, expenses, and invoices.
  9. Assist in the preparation of reports.
  10. Prepare invoices.
  11. Create, maintain and update spreadsheets, as required.
  12. Other duties, as required.

Qualifications

  1. Minimum of 3 years’ relevant experience working in a public accounting firm.
  2. Graduate of an Office Administration Program, or the equivalent combination of education and/or related experience.
  3. Advanced knowledge of Microsoft Office software including Word, Excel, and PowerPoint.
  4. Experience creating charts and diagrams with Visio is a strong asset.
  5. Experience working with OneNote and Microsoft Teams preferred.
  6. Strong written and verbal communication skills, including spelling, grammatical and proof-reading ability.
  7. Superior organization and time management skills.
  8. Good judgement and analytical skills, with a focus on attention to detail.
  9. Excellent interpersonal skills and demonstrated ability to effectively work with others, by sharing information and providing peers with assistance as needed.
  10. Experience working with professionals in a fast-paced environment, with tight deadlines.
  11. Flexible and able to work overtime during peak periods.
  12. Strives to deliver an exceptional client service experience.
