Bilingual Executive Assistant – Support to Senior Leadership Financial Sector

A major player in the financial and insurance industry, this organization is seeking a Senior Executive Assistant to support the Vice President, Chief Information Security Officer, and the Senior Director.

The role is central to the office of information security and involves high-level coordination in a highly professional and confidential environment.

This is a long-term temporary mandate (until June 30, 2026) with a strong possibility of conversion to a permanent position.

Strategic Executive Assistant – Long-Term Mandate in a Top-Tier Financial Firm

Responsibilities

Senior Executive Assistant – Cybersecurity & Risk Office Long-Term Mandate

  • Manage inbound and outbound communications for the VP and Senior Director
  • Coordinate complex calendars and meetings
  • Prepare, proofread, and edit internal communications and presentations in both English and French
  • Organize meetings, events, and travel logistics
  • Draft agendas, take meeting notes, and track follow-ups on action items
  • Support the onboarding of new employees and consultants
  • Prepare financial and administrative reports
  • Organize and maintain digital filing systems
  • Collaborate with other executive assistants and internal stakeholders
  • Ensure confidentiality of sensitive information and anticipate leadership needs
  • Develop tools and processes to increase the office’s operational efficiency

Qualifications

Bilingual Executive Assistant – Support to Senior Leadership Financial Sector

  • College diploma (DEC) in administrative techniques, business administration, or equivalent
  • Minimum 10 years of relevant experience, including at least 5 years in an executive-level assistant role
  • Previous experience in a large company is highly preferred
  • Fully bilingual (English and French), written and spoken
  • Strong organizational and communication skills
  • Professional discretion, sound judgment, and attention to detail
  • Ability to manage short deadlines and multiple conflicting priorities
  • Advanced knowledge of Microsoft Office tools : Word, Outlook, PowerPoint, Excel, SharePoint, Teams, OneNote
  • Comfortable with and curious about using AI-based tools
  • Proactive, autonomous, and capable of quickly building internal networks
  • Long-term planning and task prioritization skills
