Position Summary

The ADAAWE Assistant supports the day-to-day operations, communications, and programming at the ADAAWE Hub. This is an on-site position that includes front desk reception, responding to inquiries, giving tours, and maintaining a clean and welcoming space for members and guests. The Assistant will help with member onboarding and engagement, and contribute to the planning and execution of ADAAWE initiatives and events.

Key Responsibilities

Member Services & Front Desk Support

  • Provide daily front desk coverage, greeting members and visitors in a welcoming and professional manner.
  • Answer phone calls and respond to email inquiries in a timely, helpful, and respectful way.
  • Receive and manage deliveries, handle mail, and provide support with scheduling space usage.
  • Conduct tours for new or prospective members and partners, helping them understand ADAAWE’s services and space offerings.
  • Support onboarding of new members to ADAAWE’s digital platform, offering in-person assistance as needed.

Community Engagement & Space Stewardship

  • Help maintain a clean, safe, and inclusive shared workspace by performing light upkeep and restocking supplies.
  • Engage with members on-site through informal check-ins and relationship building.
  • Assist with feedback collection and basic member data tracking to support continuous improvement.

Program & Event Support

  • Assist with event coordination, including logistics, outreach, and material preparation.
  • Support the execution of in-house workshops, member meetups, and community events.
  • Contribute to the tracking of participation metrics and community engagement levels.

Other

  • Perform additional tasks as required to support the overall operations and growth of ADAAWE.
  • Collaborate with the Hub Coordinator and Communications Coordinator and other team members to align on key dates and programming needs.

Qualifications

Education

  • Completion of a post-secondary diploma in a related program is required, such as Communications, Social Sciences, Indigenous Studies.
  • While a post-secondary education is preferred, candidates with a combination of relevant experience and education may also be considered.

Experience

  • Minimum 1-2 years of experience in customer service, community engagement, communications or entrepreneurship is required.
  • Prior experience working with Indigenous communities and/or organization is preferred.

Abilities, Knowledge & Skills

  • Strong writing and verbal communication skills, with an understanding of cultural sensitivity.
  • Ability to manage multiple tasks and deadlines while maintain accuracy and consistency.
  • Collaborative, respectful, and community-oriented approach to work.
