Job Title: Accounts Receivable AdministratorJob Description

The Accounts Receivable Administrator supports the full accounts receivable cycle by preparing documentation, processing adjustments, and coordinating collection activities. This role focuses on gathering and organizing invoices and statements, investigating unapplied payments, and maintaining accurate customer account records. The successful candidate will communicate professionally with customers to resolve outstanding balances and ensure timely collection of receivables.

Responsibilities
  • Gather copies of invoices and statements of account to support collection efforts and ensure accurate documentation for each customer.
  • Assist in identifying and researching unapplied payments to ensure they are correctly allocated to customer accounts.
  • Communicate effectively with customers by telephone and in writing to follow up on outstanding accounts and provide clear documentation and explanations.
  • Process credit note adjustments to customer accounts as required, ensuring accuracy and proper authorization.
  • Provide required documentation for customers where demand letters are sent, including contracts, contact information, and statements of account.
  • Support invoice processing activities, including reviewing and organizing customer invoices for timely billing and collection.
  • Assist with past due account collection by conducting collection calls and documenting outcomes in a clear and organized manner.
  • Post bank deposits and accounts receivable payments accurately and in a timely manner to maintain up-to-date receivables records.
  • Perform cash application and cash postings to ensure payments are properly matched to invoices and customer accounts.
  • Conduct billing research and resolve discrepancies related to invoices, payments, and customer accounts.
  • Collaborate with colleagues in accounts payable/receivable and customer service to resolve issues and improve collection processes.
  • Use Microsoft Office and other systems to prepare reports, maintain records, and support day-to-day accounts receivable operations.
Essential Skills
  • Hands-on experience in accounts receivable and receivables management.
  • Proven experience in accounts receivable collections, including past due account collection and collection calls.
  • Strong customer service skills with the ability to communicate clearly and professionally by phone and in writing.
  • Practical experience with invoice processing and handling customer invoices.
  • Ability to post bank deposits and accounts receivable payments accurately.
  • Experience processing credit note adjustments to customer accounts.
  • Proficiency in cash application and cash postings.
  • Experience with billing research and resolving discrepancies on customer accounts.
  • Working knowledge of accounts payable and accounts receivable (AP/AR) functions.
  • Proficiency with Microsoft Office applications for documentation, reporting, and communication.
  • Ability to organize and maintain documentation such as contracts, statements of account, and customer contact details.
  • For candidates based in Montreal, the ability to work bilingually in English and French.
Additional Skills & Qualifications
  • Experience using SAP for accounts receivable activities is considered an asset.
  • Prior experience in a high-volume collections or receivables environment is beneficial.
  • Strong attention to detail and accuracy in financial data entry and documentation.
  • Ability to manage multiple tasks and deadlines in a structured accounts receivable environment.
Work Environment

This is a full-time role of approximately 40 hours per week, typically scheduled from 8:00 a.m. to 5:00 p.m. The position is primarily office-based, with an expectation of working onsite four days per week. The role is located in Scarborough, Ontario, Canada, with consideration for candidates based in Montreal who can work bilingually. The work environment involves regular use of office technology and software, including Microsoft Office and, as an asset, SAP. The setting is a professional office environment focused on structured accounts receivable processes, collaboration with finance and customer service teams, and consistent communication with customers regarding invoices and payments.

This is a Contract position based out of Scarborough, ON.

Pay and Benefits

The pay range for this position is $21.00 - $25.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
