We have an Interim Accounts Payable Supervisor / Manager role for a PE-owned healthcare products distribution company based in Nashville, TN.

The Accounts Payable Supervisor / Manager oversees the accounts payable (AP) function for a fast-growing healthcare products distributor, ensuring accurate and timely processing of vendor payments, expense reports, and financial records. This role manages the AP team, enforces compliance with company policies and industry regulations, and contributes to process improvements to enhance efficiency and accuracy.

Key Responsibilities:

Team Leadership & Operations Management:

  • Supervise and mentor the AP team, including training, workload distribution, and performance reviews.
  • Oversee the end-to-end AP process, ensuring invoices are processed, approved, and paid accurately and on time.
  • Monitor payment runs (checks, ACH, wire transfers) and resolve payment discrepancies.
  • Manage vendor relationships, addressing inquiries and resolving disputes promptly.
  • Ensure compliance with company policies, GAAP, and healthcare industry regulations (e.g., tax reporting, 1099 filings).
  • Maintain strong internal controls over AP processes to prevent fraud and errors.
  • Assist with month-end and year-end closing, including accruals and account reconciliations.
  • Support internal and external audits by providing documentation and reports.

Process Improvement & Systems Management:

  • Identify and implement process improvements to enhance efficiency, accuracy, and automation.
  • Optimize AP workflows within accounting software (e.g., QuickBooks, NetSuite, SAP).
  • Collaborate with procurement and other departments to streamline invoice approvals and payment processes.

Reporting & Analysis:

  • Generate and analyze AP reports (aging, cash flow forecasts, vendor spend analysis).
  • Track key metrics (discount capture, payment cycle times) and report findings to management.

Qualifications & Skills:

  • Education: Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Experience: 5+ years of AP experience, with at least 2 years in a supervisory role (healthcare or distribution industry a plus).
  • Proficiency in accounting software (e.g., QuickBooks, Oracle, NetSuite) and ERP systems.
  • Advanced Excel skills (pivot tables, VLOOKUP, macros).
  • Understanding of healthcare supply chain/distribution is advantageous.
