Job description

Overview

Reporting to the Manager AP/AR, the Accounts Payable (A/P) Specialist is responsible for data entry and related duties in disbursing non-payroll accounts payable to individuals, suppliers, corporations, and other entities. This includes maintaining ledgers, credit balances, and resolving account irregularities. The A/P Specialist ensures all expense entries are IFRS compliant and properly coded according to policy.

Responsibilities
  1. Process invoice entry, review, and posting accurately and promptly in Concur and Sage X3 platforms.
  2. Respond to and resolve inquiries from internal teams and suppliers professionally and promptly, investigating billing discrepancies or misapplied payments.
  3. Assist in closing month and quarter-end activities for A/P, including accruals and bank reconciliations.
  4. Prepare general ledger journal entries as needed.
  5. Support the preparation of weekly payment runs (EFT/ACH/Wires).
  6. Help resolve payment or system-related issues, such as rejected payments or vendor technical issues.
  7. Coordinate with suppliers and reconcile supplier statements.
  8. Set up banking information for new suppliers.
  9. Manage the Accounts Payable inbox, handling inquiries and forwarding emails and invoices promptly.
  10. Maintain financial security by adhering to internal controls.
  11. Build strong relationships across organizational units at various accounting levels.
  12. Ensure confidentiality and privacy of financial and non-financial information.
  13. Complete special projects, report findings, and develop guidelines and procedures for Accounts Payable.
  14. Perform other duties as assigned by the company.
Qualifications
  1. Minimum of 4 years’ experience in AP processes, reconciliation, and internal controls.
  2. Ability to accurately manage accounting figures and records in accordance with IFRS.
  3. Experience in data gathering, financial reporting, and analysis.
  4. Post-secondary education in Accounting, Finance, or Business.
  5. Proficiency with ERP systems.
  6. Advanced Excel skills.
