About the Role

The Accounting Coordinator will play a crucial role in maintaining and improving our financial processes while supporting the company’s operational efficiency. This role focuses primarily on financial oversight and compliance, ensuring our systems and records are accurate and aligned with company goals.

This is an in-office hybrid role requiring 4 days per week at our downtown Toronto office, with 1 day available for remote work.

Responsibilities

Financial Oversight & Bookkeeping (75%)

  1. Maintain accurate records of payables and receivables through consistent data entry.
  2. Process AP through wire transfers.
  3. Manage semi-monthly payroll for Canadian staff.
  4. Perform bank and credit card reconciliations to ensure accuracy and transparency.
  5. Update financial data and documentation in CRM and FP&A systems.
  6. Collaborate with management on reviewing financial statements and insights.
  7. Prepare and file quarterly HST returns and annual T4 and T4A/T4ANR compliance reports.

Operational Support (25%)

  1. Coordinate with teams to set up or update subscriptions for enterprise customers.
  2. Oversee vendor policy compliance, ensuring timely renewals, cost efficiency, and accurate access records.
  3. Maintain documentation for internal workflows and processes.
  4. Support light HR administrative tasks, such as onboarding new hires and team-wide communications.
  5. Handle occasional ad hoc requests, like mail processing or scheduling assistance.

What You Bring to the Team

  1. Experience: 2–3 years in bookkeeping and payroll management (formal accounting certification (aka CPA) is a bonus but not required).
  2. Technical Skills: Proficiency in financial tools like standard online banking, QuickBooks Online, Wagepoint, and related platforms.
  3. Organization: Exceptional multitasking skills and attention to detail.
  4. Adaptability: Comfort with small administrative tasks and a collaborative approach.
  5. Drive: Ability to thrive in a fast-paced, growing environment.
