Our Finance Team is looking for a detail-oriented and highly organized Accounting Coordinator, reporting to the Senior Finance Manager, to support the smooth and efficient operation of our financial processes.

If you are a number ninja with a passion for precision, have a knack for keeping things in perfect order (beautiful filing systems, anyone?!) and have a can-do attitude to pitch in where needed - this role may be a perfect match for you!

The ideal candidate will have a minimum of 3 years of practical accounting or bookkeeping experience, with proficiency in our accounting software Quickbooks. We are looking for someone who thrives in a role focused on accounts payable, processing accurate and timely transactions and meticulous data management, maintaining thorough well-organized filing systems. Excellent communication and organization skills, adaptability and a team-oriented spirit are keys to success in this position.

This is a hybrid opportunity based in Dartmouth, Nova Scotia. A perk of this role is the flexibility to work from home most of the week, with flexible scheduling and making use of our office as needed.

Role Responsibilities:

Accounts Payable & Receivable:

  • Process accounts payable and accounts receivable transactions accurately
  • Review and verify invoices and payment requests for accuracy and compliance
  • Prepare and process electronic transfers, cheques, and ACH payments
  • Follow up on outstanding invoices and ensure timely collection of receivables
  • Preparing working papers for prepaid expenses and accounts

Financial Record-Keeping & Reporting:

  • Maintain and update accounting records, including ledgers and journals
  • Prepare and process bank deposits and expense reports
  • Reconcile bank statements and resolve discrepancies
  • Assist with month-end, quarter-end, and year-end closing procedures
  • Assist in preparing financial reports, invoices, and account reconciliations

Compliance & Administrative Support:

  • Maintain well-organized financial documentation and filing systems
  • Respond to inquiries from vendors, clients and internal departments
  • Ensure compliance with company policies and accounting standards
  • Coordinate and plan for office administration, such as ordering supplies, etc.
  • Assist with travel arrangements and prepare travel-related documentation
  • Assist with data entry and upkeep within the corporate CRM system and customer portals

Implement Continuous Improvement:

  • Identify and implement process improvements to streamline financial workflows
  • Support the implementation of new financial systems, tools and processes
  • Participate in continuous job-specific training and ongoing education

Internal Collaboration:

  • Work cohesively within the Finance team and across all departments
  • Act professionally, fairly, ethically and confidentiality with employees, customers and third parties, with due regard to contractual and privacy responsibilities

Required Skills

  • Proficiency in accounting software, preferably QuickBooks and/or SAP
  • Proficiency with Excel
  • Strong financial record-keeping and reconciliation skills
  • Understanding of accounting principles and financial processes
  • A continuous improvement mindset for enhanced efficiency
  • Excellent organizational and time-management skills
  • Strong attention to detail and accuracy in data entry and record-keeping
  • Ability to handle confidential information with integrity and professionalism
  • Excellent English communication skills, both written and verbal
  • Collaborative work philosophy

Experience

  • A minimum of 3 years of accounting or bookkeeping experience
  • Bachelor’s degree or certificate in Accounting, Finance, or equivalent practical experience

Nice to Have Skills

  • Familiarity with government programs (SR&ED, grants, incentives, etc.)
  • Knowledge of inventory management and logistics (shipping, receiving, warehousing)
