Why this role is important?

Summary:
Administer the accounting functions within the store supporting sales, inventory, payroll, benefits reporting, and other financial requirements to achieve the store's financial objectives.

Duties & Responsibilities:

Accounts Payable

  • Verify packing slips against authorized invoices and the Merchandise Receiving Log.
  • Process invoices for payment according to vendor payment methods.
  • Identify discrepancies between invoice costs and purchase order amounts; escalate above thresholds.
  • Review weekly SDM statements for invoices, transfers, and charges.
  • Allocate charges paid via store credit cards periodically.
  • Process store-to-store payments.
  • Complete new vendor setup forms for frequent vendors.

Accounts Receivable

  • Input charges and payments into AR system; ensure totals match front-end systems.
  • Reconcile adjustments to AR sub-ledger.
  • Maintain and review AR aging; follow up on collections.
  • Handle vendor claim reconciliations and submit to Central Office.
  • Set up AR and billing for store-to-store receivables.
  • Generate and distribute monthly AR statements.
  • Maintain customer profiles and ensure receivables are linked correctly.
  • Reconcile daily sales details; investigate cash shortages or overages.
  • Ensure timely posting of deposits for cash and EFT.

Expenses

  • Audit expense allocations for accuracy.

Payroll

  • Review timesheets; report discrepancies.
  • Process payroll bi-weekly on schedule.
  • Administer employee benefits, enrollments, and terminations.
  • Maintain accurate employee data and benefit records.
  • Update cosmetic commission databases and provide data to managers.
  • Ensure T4s and government forms are filed on time.
  • Complete legislated benefit filings.
  • [Quebec] Manage CNESST documentation for injured employees.
  • Maintain PDP enrollments.

General

  • Prepare period-end documentation and review cash discrepancies.
  • Complete inventory forms and coordinate with inventory teams.
  • Follow health and safety regulations and internal audit controls.

Financial Process Optimization (FPO) Webforms

  • Reconcile balance sheet accounts, address discrepancies, and submit weekly FPO forms to Central Office.

Skills, Experience & Education

This role requires initiative and judgment to organize, prioritize, delegate, and collaborate effectively.

  • Minimum 2 years of accounting experience or related post-secondary education.
  • Understanding of interconnected processes and adaptability.
  • Proficient with MS Excel and basic computer skills.
  • Strong time management and organizational skills.
  • Effective communication skills, both verbal and written.
  • Attention to detail and thoroughness.
  • Knowledge of accounting principles and procedures.
