Title : Accounting and Office Administrator – Western Canada

Location : Western Canada

PURPOSE OF THIS ROLE :

This role is central to the smooth financial and administrative operation of Stone Tile’s Western Canada offices. As the Accounting and Office Administrator , you will manage a variety of accounting, accounts payable / receivable, and general office administrative duties. You will play a key part in ensuring accuracy, efficiency, and a high standard of organization within our operations, contributing to the continued success and growth of our Western Canadian business.

THE OPPORTUNITY :

As Accounting and Office Administrator - Western Canada , you will be responsible for key day-to-day financial transactions and office functions that ensure operational excellence. From posting payments and reconciling bank deposits, to managing client credit applications and supporting sales operations, your work will directly support our customer experience and business growth.

You will collaborate with internal teams including the Corporate Controller, Sales, and Head Office, and serve as an essential link in maintaining our strong reputation for professionalism and service.

This role also offers an opportunity to learn and grow, with cross-training in sales order entry and quotations support, particularly for showroom orders.

YOU WILL :

  • Process Client Credit Applications and post payments in our ERP system (P21).
  • Prepare and send invoices; resolve invoice discrepancies and inquiries.
  • Manage collections on outstanding accounts and process credit card applications .
  • Prepare and file bank deposits ; balance petty cash and reconcile credit cards .
  • Post accounts payable invoices and manage related record-keeping.
  • Prepare and send monthly account statements to Head Office.
  • Coordinate couriers and manage general office supply orders and maintenance requests .
  • Maintain organized filing and records systems .
  • Support sales order entry and quotations for smaller showroom orders as needed.
  • Ensure compliance with company financial procedures and contribute to continuous process improvement .

YOU ARE / HAVE :

  • 2-4 years experience in accounting, finance, or a related field.
  • Proficient in MS Word, Excel, email and adaptable to new software (experience with P21 is an asset).
  • Strong communication skills and ability to liaise with colleagues and clients at all levels.
  • Exceptional attention to detail , organization , and time management skills.
  • Proven ability to work independently and as part of a team.
  • Analytical and logical thinking with sound problem-solving abilities.
  • High standards of integrity , professionalism , and discretion .
  • Comfortable lifting / moving light office materials (10-20 lbs) and occasionally working overtime as required.
