The Accounting Administrator will work effectively as a team player within the Business Services Department. This role involves supporting the maintenance and reconciliation of accounts payable, accounts receivable, and other accounting tasks. This role requires significant data entry within our computerized systems.

Key Job Functions

Accounts Payable

  • Support the timely and accurate processing of accounts payable by managing administrative tasks prior to payment.
  • Assist in ensuring payments are made promptly and in accordance with the College's cash management strategy.
  • Provide courteous and efficient support for client and supplier inquiries.
  • Assist in the disbursement of payments to creditors.
  • Support the completion and maintenance of monthly accounts payable reconciliations.
  • Assist in the review and payment processing of expense claims.

Accounts Receivable

  • Support the preparation and reconciliation of campus deposits.
  • Assist with all aspects of invoicing, account collection, reconciliations, statements, and issue resolution for internal and external clients.
  • Assist with collecting cash generated by College departments, including proper coding of payments, direct deposits, account payments, and Accounts Receivable.
  • Provide support to the Accounting Operations Supervisor with monthly and year-end reconciliations.
  • Assist in generating the daily cash journal entry.

Other Administrative Duties

  • Support year-end activities by preparing working papers and schedules as needed.
  • Assist with audit preparations by gathering and compiling documentation as directed by the Director of Business Services or the Audit Project Manager.
  • Provide coverage for other departmental roles during absences, including routine accounting tasks and filing.

Education/Experience/Skills/Knowledge Required

  • 1-year certificate in a related field (e.g. office admin, business admin or accounting); preference will be given to candidates with a 2-year diploma.
  • Completion of at least two college-level accounting or bookkeeping courses is preferred.
  • 2 years of experience in related accounting/bookkeeping functions preferred.
  • Possesses an excellent knowledge of accounting methods, accounts payable computer applications, word processing and spreadsheet programs.
  • Demonstrates excellent accuracy and attention to detail.
  • Possesses a good knowledge of accounting methods and principles.
  • Demonstrates good mathematical skills.
  • Demonstrates good organization, time and stress management skills.
  • Exceptional written, oral and interpersonal communication skills.
  • Acts ethically, openly, honestly, and respectfully to build and maintain an environment of trust, safety, and well-being.
  • Makes decisions with the College’s interests in mind, while demonstrating inclusivity, openness, transparency, civility, and respect.
