Job Description
Summary : Under the direction of the Controller or their delegate, the Accounting Administrative Assistant is responsible for supporting the Accounting Department and performing administrative duties. This includes maintaining high standards for communication, organization, efficiency, accuracy, and documentation.
Accounting / Bookkeeping Duties :
- Bookkeeping duties with a primary focus on Accounts Payable (A/P).
- Issue Purchase Orders (POs) as required.
- Prepare purchase invoices for payment, seek authorization, and send to appropriate parties (cheques, EFT, etc.).
- Process, enter, and upload A/P invoices into systems.
- Review, track, and process Contractor Connection invoices monthly.
- Assist in reconciling A/P transactions.
- Process cheque runs on approved payables.
- Match receipts to statements.
- Research and resolve invoice discrepancies.
- Reconcile credit cards and gas cards weekly, semi-monthly, and monthly.
- Correspond with vendors and respond to inquiries, following up with the Controller as needed.
- Send out Sub Trade Packages and process upon return.
- Ensure timely invoicing of completed files using JMR.
- Create A/R invoices as required, including deductible, inspection, estimating fees, emergency, draw, and repair.
- Handle A/R collections as requested.
- Process bank deposits (cheques, EFTs, E-transfers).
- Update closed files in DRS Complete after month-end.
- Update WSIB quarterly for vendors.
- Communicate with vendors regarding expired COIs and update PSA when valid COIs are received.
- Send updated WSIB and COI to vendors as applicable.
- Track inventory through material sheets.
- Exercise cost control measures and address discrepancies.
- Manage workflow to meet expectations and deadlines.
- Maintain confidentiality of all client, supplier, and company information.
- Assist in improving procedures, processes, and software, and help implement new ones.
- Attend required training.
- Perform other accounting/bookkeeping duties as assigned.
Administrative Duties :
- Perform clerical tasks such as filing, printing, and errands.
- Make collection calls as needed, documenting details per policies.
- Generate and respond to emails professionally and promptly.
- Answer phones, transfer calls, and take messages.
- Answer the door as required.
- Open and close the office as needed.
- Provide excellent customer service.
- Perform internet research as needed.
- Other administrative duties as assigned.
Job Details :
- Type: Full-time
- Pay: $50,000 - $55,000 per year
