Job Description
Position: Accounts Receivable Administrator
Purpose of the role: Using a professional level of communication and customer service, along with accounting skills, the Accounts Receivable Administrator handles all incoming payments of client invoices and follows up on overdue invoice payments whilst working with various internal and external resources or stakeholders. The Accounts Receivable Administrator also acts as the secondary biller preparing invoices for distribution to clients. In addition to taking ownership of the AR function, the ideal candidate enjoys the variety that comes with learning and backing up some of the other functions of the Accounting Team.
Reports To: Accounting Manager
Duties and Responsibilities:
- Post payments (cheques, electronic payments and credit card) to the general bank accounts and prepare deposits and maintain records;
- Investigate payments without remittance information by utilizing search tools, communicating with the bank, clients, staff and lawyers as needed;
- Respond to both internal and external requests and inquiries relating to Accounts Receivable;
- Follow up internally with lawyers regarding overdue Accounts Receivable and actions to be taken;
- Communicate directly with clients regarding Accounts Receivable based on lawyer instruction and firm policies and maintain records of communications;
- Prepare and send monthly reminder notices to clients;
- Post write-offs of accounts receivable and maintain records;
- Communicate with and provide instruction to external collection agent;
- Prepare monthly internal billings;
- Act as the secondary biller assisting the Billing Specialist including but not limited to:
- Review pre-bills / draft invoices for accuracy and make required data changes;
- Produce client invoices including those related to electronic billing initiatives and special client billing arrangements;
- Initiate contact with lawyers/assistants to clarify billing instructions as necessary;
- Post write-offs of unbilled disbursements;
- Review for accuracy and effect any corrections as required on final invoices;
- Maintain scanning of invoices, pre-bills and write-offs;
- Provide coverage for other team members, including but not limited to Accounts Payable, Disbursements and Trust, as required;
- Other duties and responsibilities as required.
Education & Qualifications:
- High school diploma required;
- Post-secondary education in finance or accounting, or working towards a post-secondary education, or 1-year of experience in finance or accounting role required, preferably in a role with responsibility for accounts receivable, billing, or collections;
- Proficient in MS Office Skills including Excel, Word, and Outlook;
- Experience using Aderant is an asset.
