Job description

Job Summary:

Reporting to the Account Manager, the Account Coordinator oversees program execution, manages field teams, and supports the planning and production of experiential marketing programs. Acting as the “project quarterback,” the Account Coordinator ensures timely completion of project deliverables by all team members, proactively identifies risks, and provides recommendations to enhance program specifics.

Primary Location: Mississauga, ON (50% Canadian travel expected)

Role type: Full Time, permanent (Hybrid)

Responsibilities and Duties:
Include (but are not limited to) the following duties:

Program Coordination & Execution

  • Support the Account Manager (AM) with administrative and execution tasks across multiple programs
  • Execute client programs from initiation to completion, ensuring operational excellence
  • Coordinate timelines, program documents, and shared tracking platforms (e.g., Asana, Trello)
  • Liaise with vendors to request quotes, make bookings, and coordinate deliverables
  • Maintain detailed workbooks, critical paths, and weekly priority updates
  • Book travel, schedule meetings, and process invoices as required
  • Provide onsite support for events and activations, ensuring smooth execution
  • Maintain asset libraries and inventory records across programs

Field & Recruitment Support

  • Work with the recruitment team to ensure timely hiring and onboarding of field teams
  • Lead and support field staff remotely and on-site, providing training and resources
  • Ensure programs are delivered according to client expectations and deadlines
  • Act as a liaison between field teams, internal teams, and clients

Reporting & Client Support

  • Assist in tracking key account metrics, preparing weekly reports, and flagging challenges
  • Escalate urgent issues to the AM in a timely and proactive manner
  • Provide clear documentation, meeting recaps, and status updates to all stakeholders

Skills & Qualifications

  • Post-secondary education in Marketing, Business, Communications, or a related field
  • Experience in project coordination, event logistics, or field marketing is an asset
  • Familiarity with project management tools such as Asana, Trello, or Monday.com
  • Proficient in Microsoft Office and/or Google Workspace (Sheets, Slides, Docs)
  • Excellent communication (written and verbal), organizational, and time management skills
  • Ability to manage multiple projects simultaneously with attention to detail
  • Strong problem-solving skills and adaptability in fast-paced environments
  • Comfortable working independently and collaboratively across various teams
  • Must be able to travel and provide on-site event support as needed
  • Must have a valid driver’s license and access to a vehicle
  • May occasionally be required to lift, carry, or move items during event setups
