About The Department
The Office of Institutional Research and Planning (OIRP) has primary responsibility for institutional strategic planning, surveying and institutional data analysis at Mount Royal. The Office collects, analyzes, interprets and reports data and information to support decision making, planning and evaluation across the institution. Academic quality assurance is a function of prime importance in a university, and OIRP supports academic units in conducting cyclical program reviews and developing new programs through data, analysis and coordination. OIRP is responsible for providing quality information and institutional research to inform strategic planning, assessment, development and accountability and for providing leadership in the management of data as a university resource.
About The Role
The Academic Quality Assurance Coordinator is an integral part of the Institutional Research and Planning team that liaises closely with Academic Affairs. This is an administrative coordination role to support and oversee the review and development of academic programs across the institution. The incumbent in this position will work closely with Department Chairs, Vice Deans, Deans, and the Vice-Provost Academic to ensure effective and efficient practices for ongoing review and continuous improvement of existing programs as well as development of new programs. The incumbent will liaise with the senior leadership team to ensure alignment with institutional priorities. The role requires excellent organization abilities and a clear understanding of institutional policies, priorities and the provincial Campus Alberta Quality Council guidelines.
Responsibilities
Support Program Review
- Coordinate the entire process of academic program review, including:
- Maintain the schedule of all required reviews, and communicate upcoming review timing to relevant academic units.
- Maintain and share a template for the self-study reports, assist with access to required institutional data, and provide institutional content to the self-study.
- Assist with the selection and scheduling of external reviewers, help to coordinate the review site visits, and coordinate the feedback from reviewers.
- Support the development of advancement plans, ensuring the overall workflow and approval processes for reviews, and assist with the communication of review outcomes within the institution and to relevant external bodies.
Support New Program Proposal Development and Accreditation Coordination
- Assist academic units with the procedural elements of developing new program proposals.
- Liaise with other members of Institutional Research and Planning on the provision of data and information required to support new program proposals.
- Oversee the workflow of new program proposals through the relevant institutional review and approval bodies.
- Assist with consultation of relevant external stakeholders on new programs.
- Support communication with relevant provincial units.
- Liaise with Vice-Provost and Faculty leadership to track, initiate, and assess accreditation processes to determine coordination needs and possible crosswalk with academic program review.
Quality Assurance Monitoring and Data Management
- Coordinate collection of data and monitoring information between formal review periods.
- Provide liaison between academic units and relevant institutional bodies (e.g., Academic Standards Committee) on interim quality assurance reporting.
- Oversee digital record keeping for all academic quality assurance processes.
- Develop and implement data management standards for quality assurance files consistent with institutional guidelines.
- Coordinate data sharing related to academic quality assurance between Institutional Research and Planning and academic units.
Qualifications
- University degree in a relevant discipline (e.g., Public Administration, Science, Education, or another discipline) or equivalent education and experience.
- A Master’s Degree would be considered an asset.
- 5 - 8 years of professional experience coordinating programs and projects involving multiple stakeholders and competing deadlines.
- Thorough understanding of the post-secondary environment and operations, and faculty relations.
- Experience working with senior leadership, good understanding of policy and procedures, governance structures, and lines of authority for approvals.
- Experience in the university’s quality assurance processes including academic program review, program development, program accreditation, curriculum and course change processes.
- Knowledge of Microsoft Office and Google applications and software, databases, Power BI, Oracle, and the ability to collect and compile data from multiple systems and sources.
- Strong organization and communication skills.
- Demonstrated ability to show initiative and a proactive approach to work management.
- Detail orientated, data literate, organized, and the ability to research and present to large audiences and problem-solve complex scenarios.
