Job Details
Position Title: Academic Operations Specialist
Status: Full-Time Administration
Hours: 37.5 Hours per Week
Program/Department: Office of the Vice-Provost
Campus/Location: The University of Guelph-Humber (207 Humber College Blvd, Toronto) is located within the traditional and treaty lands of the Mississaugas of the Credit.
Minimum Starting Salary: $83,292; starting salaries are determined based on qualifications and years of related experience.
About The Academic Operations Specialist Role
The incumbent provides core academic operational support to the University of Guelph-Humber and is held responsible for ensuring that operational processes are managed efficiently and effectively. The incumbent reports to the Associate Vice-Provost, Academic, who provides direction and leadership support in all areas related to academic operations and academic services as well as academic integrity. The incumbent indirectly manages the team of program support coordinators by providing them with the necessary guidelines and documentation for their daily operational needs, so that instructors and program administration are well-supported within the institution. The incumbent fosters effective working relationships with diverse reporting relationships within the Associate Vice-Provost’s portfolio and liaises extensively with both sponsoring institutions (Humber Polytechnic and the University of Guelph).
Responsibilities Will Include (but Are Not Limited To)
- Primary contact for Humber Polytechnic, University of Guelph and Guelph-Humber for all academic operational matters including initiatives, projects, and processes.
- Create and review standard operating procedures and academic processes to support effective and efficient academic operations (e.g. update content on SharePoint, write SOP for Program Support Coordinators to standardize an academic process).
- Identify and implement improvements to academic systems, processes, and policies/procedures in collaboratively to improve/ enhance academic operations.
- Lead academic operations projects including managing project teams, timelines, progress, and communications.
- Maintain instructor-related content across platforms (e.g., website, SharePoint, intranet).
- Ensures consistency in instructor-facing documentation and processes (e.g., course outlines, exam instructions, welcome e-mails, Instructor Handbook).
- Coordinates, implements, and executes the Associate Vice-Provosts annual plan to support instructors (e.g., instructor orientation, workshops, town halls, and social events). Implementation includes event logistics, guest coordination, and communications.
- In collaboration with the Associate Vice-Provost supports the university’s Research Grant Fund by arranging meeting(s) of the committee, compiling and organizing applications for review by the committee, taking minutes and records of committee decisions, preparing and sending decision letters to applicants.
- Schedules academic misconduct meetings between students and the Associate Vice-Provost, Academic (or designate).
- Manages the central Academic Services email account and ensures timely responses.
- Prepares and distributes meeting agendas, supporting documents, meeting minutes and follows up on action items for committees led by Associate Vice-Provost Academic (e.g., AMAP, Operations Committee).
- Tracks and follows up on action items and deadlines arising from Associate Vice-Provost Academic initiatives and meetings.
- Ensure that each step of program IQAPs (Institutional Quality Assurance Process) are undertaken towards their completion.
- Support the external review component of the IQAP by forwarding information to reviewers and organizing site visits.
Qualifications
What you bring to the role:
Education
The successful candidate will have a minimum of a 4 year’s Bachelor’s Degree.
Experience And Skills
The successful candidate will have a minimum of 5 years related work experience.
In Addition, They Will Have
- Proven expertise in usage of MS Office Suite, especially Excel and PowerPoint, and related compensation data management tools
- Excellent written and verbal communication skills and interpersonal skills including consultative and relationship management skills
- Excellent ability to read, comprehend, write, and speak English
- Strong problem-solving skills with a proactive approach
- Self-motivation and ability to prioritize and work with minimal supervision
- Ability to analyze and interpret data and translate it into an action plan
- Familiarity with industry standard graphics computer software including experience using Adobe Creative Suite for graphic design. (i.e. InDesign, Photoshop and Illustrator)
- Strict attention to detail
- Ability to interact professionally with all organizational levels
- Must be able to work in a team environment, including immediate supervisor, other team members in the section or group, and take direction from other team members from other departments
- Adhere to all Collective Agreements, Terms and Conditions of Employment for Administrative Staff, internal policies/practices, and government regulations college wide requirements
- Must be aware and adhere to university regulations surrounding procedures for academic misconduct cases
