Job Description

We are looking for an Academic and Operations Coordinator who can bring their experience of international education and passion for supporting student success to this exciting new partnership. This is a systems-thinker, has a deep understanding of academic systems and workflows, has a strong capacity for data-based storytelling, and has exceptional relationship management skills. This is an exciting opportunity to be on the ground floor of a first-of-its-kind program in Canada with a prestigious university partner.

As Academic and Operations Coordinator, you will be responsible for ensuring the effective coordination of academic and operational functions within the department. This role is responsible for overseeing academic planning, managing and maintaining student data, and instructor and tutor engagement. They will also collaborate with the Program Director and Student Success Supervisor to monitor and manage student progression, coordinate academic supports that are responsive to student needs, and provide a high level of service that fosters academic success and student wellbeing. The Academic and Operations Coordinator will also supervisor casual tutors and math teachers. Your role will be hands on and involved in all aspects of the Program and its delivery as it relates to student’s academic success, especially in the start-up phase of the Program while the team and student enrolment scales up.

Main responsibilities and functions Reporting to the Program Director, you will have responsibility for:

Academic Operations

  • Develop, maintain, and update student databases to ensure accurate academic, demographic, and financial records, while managing student-related documents such as enrolment verification letters.

  • Ensure all student and program data is accurate and up to date in university and Kaplan systems to support operational needs, compliance, and reporting requirements.

  • Monitor student grades and academic progression, coordinate interventions when issues arise, and manage academic concerns escalated by Student Success Advisors.

  • Support student success through delivery of academic, settlement, transition, and wellbeing advising

  • Support the Program Director in managing operations to meet targets within timelines and budgets, while ensuring compliance with Kaplan and university academic policies and quality assurance standards.

Academic Planning and Scheduling

  • Design study plans, create timetables, and update academic calendars to ensure efficient and student-centred program delivery.

  • Estimate and plan course sections based on enrolment trends, program requirements, and budget considerations.

Instructor Engagement

  • Foster a positive and collaborative academic environment by managing instructor relationships, coordinating appreciation initiatives, and supervising casual staff to ensure smooth program operations.

Strategic Planning & Coordination:

  • Contribute to future academic planning, including program enhancements, process improvements, and data-informed recommendations for delivery and growth.

  • Engage in senior-level initiatives, represent Kaplan on internal and external committees, and participate in organization-wide projects.

  • Support recruitment efforts by coordinating campus visits for partners and guests, fostering positive relationships with key stakeholders.

What you bring to the role

To be considered for the role, you will need:

  • Bachelor’s degree in Education, Administration, or a related field, with 3–5 years of experience in academic administration or operations within a post-secondary environment.

  • Strong understanding of academic policies, scheduling, and student services, with demonstrated proficiency in student information systems (e.g., PeopleSoft) and database management.

  • Proven ability to manage multiple priorities with strong organizational, planning, and project management capabilities.

  • Excellent interpersonal, communication, and relationship management skills, with the ability to work effectively both independently and as part of diverse teams.

  • Demonstrated commitment to enhancing team performance and operational efficiency, with a track record of contributing to continuous improvement initiatives.

Location and start date

This is a full-time continuing role based on site at the North Campus of the University of Alberta in Edmonton. Ideally the candidate will be available to start in August 2025.

Remuneration and benefits

Remuneration will be dependent on your experience; however you can expect a base salary of between $65,000 and $80,000 CAD per annum. We also offer a range of benefits including 26 days of annual leave, extended health and dental care plan, employer matched pension benefits and more.

Program Description

The University of Alberta’s Foundation Program is a brand new joint educational partnership between Kaplan International Pathways Canada and the University of Alberta commencing in 2024. The University of Alberta is a Top 100 ranking world university and is situated in Edmonton, Alberta. The Foundation Program (‘Program’) offers international students who do not meet direct entry requirements, an opportunity to gain admission to the University after successfully completing the 3-term (1-academic year) Foundation Program which consists of ten (10) 3-credit courses which count toward the first complete year of a Bachelor’s Degree, as well as non-credit bearing classes designed to supplement course or skill deficiencies and set students up for successful tertiary studies ongoing at the University.

The Program is supported by Kaplan staff, starting at the point of attraction and recruitment, right through to completion and progression from the program. University instructors teach credit-bearing courses and Kaplan manages all operational aspects of the program as well as provides supplemental learning and well-being services to enrolled students. The students are University of Alberta students from day one.
