DUTIES

The Academic and Administrative Coordinator is responsible for the operational and administrative functions of a Faculty or School. Working closely with the Dean, this position provides administrative support for human resource management, project management, communication, marketing, and academic processes. The Coordinator supervises support staff and is a member of the Faculty's leadership team. The role supports the development and strategy of the Faculty's planning processes. This position requires high-level decision-making, sensitivity, judgment, and handling confidential information related to personnel, performance, finances, and organizational changes. It also involves interaction with internal and external stakeholders and representing the Faculty in various contexts both on and off campus.

MAJOR RESPONSIBILITIES
Human Resource Management
  • Supports, coordinates, and guides on human resource matters, including:
  • Supervises Support Staff and manages performance and workload issues;
  • Provides recommendations on HR practices, labour relations, and collective agreements for CUPE and Faculty staff;
  • Handles recruitment, selection, and training of Support Staff, Teaching Assistants, Research Assistants, and Laboratory Technicians;
  • Represents the Faculty in CUPE grievances, conflict management, and discipline;
  • Coordinates professional development and training for support staff;
  • Coordinates hiring of sessional, limited-term, and tenure-track faculty;
  • Oversees orientations and training for temporary faculty, staff, sessionals, and contractors;
  • Manages external contractors per relevant agreements;
  • Coordinates course and teacher evaluations and oversees data summaries.
Project Management
  • Coordinates and supports special projects aligned with Faculty goals;
  • Develops funding proposals and grant applications under the Dean's guidance;
  • Manages accreditation processes if required.
Planning, Communications and Marketing
  • Plays a key role in strategic and business planning;
  • Supports development of academic plans, procedures, and reporting;
  • Represents the Faculty on relevant committees and provides input on operational decisions;
  • Coordinates communication with internal and external agencies;
  • Manages public relations, marketing initiatives, and events.
General Operations
  • Supports technology and equipment use for the Faculty;
  • Develops and reviews operational policies and procedures;
  • Manages space requirements;
  • Participates as a member of the Faculty Council.

QUALIFICATIONS
REQUIRED EDUCATION, SKILLS AND EXPERIENCE

Bachelor's Degree with 10 years' experience or Master's Degree with 5 years' experience.

  • Supervisory experience with diverse stakeholders;
  • Strong interpersonal, communication, and cultural competency skills;
  • Ability to coordinate complex projects;
  • Diplomatic, organizational, analytical, and problem-solving skills;
  • Advanced computer skills, including MS Office, databases, and data analysis software; knowledge of Colleague is an asset;
  • Project management experience with goal setting and independent work skills.
Pay Band

$76,125.00 - $87,001.00 (Admin Pay Band BL)
