Job summary

Nova Scotia Community College (NSCC) Halifax Campus is seeking an Administrative Assistant to support the central Student Supports department. This role involves maintaining filing systems, processing expense claims and invoices, and supporting budget tracking and reporting.

Qualifications

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary credential in business or office administration. High school completion with significant years of administrative experience will also be considered.
  • You have a minimum of 3 years of recent and related occupational experience in general office administration and/or Administrative Assistant experience.
  • Occupational experience in a post-secondary learning environment would be considered an asset.
  • You are familiar with and comfortable using computer applications such as Microsoft Office Suite, E-mail, SharePoint, and Office 365 tools. Experience with PeopleSoft or similar information management systems would be considered an asset.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology to create an exceptional student experience.
  • You have experience in reporting, data management, and budget oversight.

Responsibilities
  • As the Administrative Assistant, you will have overall responsibility for supporting the day-to-day administrative functions of various teams within the central Student Supports department. You will maintain filing systems, oversee the completion and submission of expense claims and invoices; support the budget management process by tracking all expenditures; have calendar management responsibilities for directors and managers and their direct reports
  • You will ensure the day-to-day functioning needs of the Managers and their direct reports are met with your support
  • You will order supplies following college processes and policies.
  • You will be responsible for meeting logistics and for providing confidential administrative support on various matters related to meetings as requested
  • You will be responsible for coordinating and tracking information as it relates to the work of these areas including maintaining a database around Student Community Standards
  • You are versatile, flexible, and very experienced in supporting administrative activities.
  • This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within the scope of authority.
  • You are digitally savvy, quick to learn new technologies, and confident navigating a variety of software, platforms, and tools to improve efficiency and outcomes.
  • You will deal with confidential information following college policies and be aware of policies following under Student Wellbeing
  • You will support various activities as part of the student life cycle as required.
  • You will be part of the Student Supports Team and will assist in the overall goals of the department, being student-centered, and creating responsive programming to the changing needs of our students
