We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Executive Director and Board of Directors . This pivotal role ensures smooth executive operations, effective governance coordination, and seamless interdepartmental collaboration. The successful candidate will also support legal scheduling and learning and development administration in partnership with the People and Culture department. Key Responsibilities

Executive & Board Governance Support

  • Manage the Executive Director’s calendar, correspondence, briefings, travel, and confidential documents.
  • Coordinate Board and committee meetings : prepare agendas, compile materials, manage logistics, and record minutes.
  • Track Board action items and distribute reports, policies, and governance documents.
  • Support onboarding and orientation of new Board members; maintain governance records.
  • Assist in planning the annual Board retreat and other governance events.

Legal Scheduling and Coordination

  • Schedule and coordinate legal meetings, case reviews, and court-related activities.
  • Liaise with legal representatives and internal staff to ensure timely coordination.
  • Maintain confidentiality and accuracy in legal documentation and scheduling.

Learning and Development Administration

  • Collaborate with People and Culture to manage staff training registrations, calendars, and attendance tracking.
  • Liaise with external trainers and OACAS learning partners.
  • Maintain training records and ensure compliance with internal and external requirements.
  • Coordinate logistics for in-house and external training sessions.

Administrative and Operational Support

  • Prepare professional documents, presentations, and reports.
  • Manage correspondence and maintain an organized electronic filing system.
  • Monitor timelines and deliverables for strategic and operational initiatives.
  • Support follow-up on key decisions and priorities involving the Executive Director and Board.

Qualifications

Education and Experience

  • Post-secondary education in business administration, office management, legal administration, or a related field.
  • Minimum 5 years of progressive administrative experience supporting senior executives or Boards, preferably in the non-profit or public sector.
  • Experience with legal services and governance coordination is an asset.
  • Familiarity with HR or training systems is an advantage.
